About the position

The Marketing Coordinator at Oakmont of Burlingame plays a vital role in supporting the Marketing Department by managing various administrative tasks essential for the smooth operation of marketing activities. This position is integral to ensuring that the community is well-represented to potential residents and their families, as well as to referral sources. The Marketing Coordinator will be responsible for organizing events, handling inquiries, conducting tours for prospective residents, and assisting with the onboarding of new residents. This role requires a thorough understanding of the community's offerings to effectively communicate the value of living at Oakmont of Burlingame. In this position, the Marketing Coordinator will maintain a comprehensive knowledge of the property’s services and amenities, ensuring that all inquiries are handled promptly and accurately. The Coordinator will also be tasked with walking the community tour route daily to prepare for tours, providing backup support to the Marketing Department during tours, and managing all inbound inquiries through telephone, walk-ins, and mail. The role involves qualifying prospects, converting inquiries into tours, and ultimately securing deposits through effective sales techniques. Additionally, the Marketing Coordinator will organize and manage marketing events, ensuring they stay within budget while actively participating in community events that engage residents, families, and referral sources. This position serves as a crucial liaison for new residents and their families, ensuring a smooth transition into the community. The Coordinator will follow a detailed move-in checklist to guarantee that all aspects of the new resident's arrival are handled with care and attention to detail.

Responsibilities

  • Maintain a thorough knowledge of the property's product and services to effectively and accurately represent the property to referral sources and prospects.
  • Walk the community tour route at the start of each day to ensure that the community is ready for daily tours.
  • Give community tours as a backup to the Marketing Department.
  • Handle all inbound telephone, walk-in, and mail inquiries including completing the inquiry information card, maintaining the ups list, entering new inquiry information into the marketing database, and follow-up with all correspondence, as directed.
  • Qualify prospects, convert qualified prospects to tours, and convert tours to deposits using the sales process, as needed.
  • Organize, plan and manage all marketing events staying within the approved budget.
  • Actively attend and participate in resident, family inquiry, and referral source special events held both inside and away from the community.
  • Serve as a liaison for residents and family members new to the community. Ensure that all new residents have a smooth transition to their new home.
  • Completely and accurately follow a new move-in checklist.

Requirements

  • Able to be flexible, adapt and respond to change, make decisions in stressful situations, and prioritize tasks and projects.
  • Able to process information and apply common sense understanding to follow and carry out written or oral instructions.
  • Able to analyze, solve and respond to problems or concerns.
  • Able to count and perform moderately complex math problems.
  • Must be highly motivated and able to work independently.
  • Able to obtain and maintain valid first aid certification.
  • Must pass a Criminal Background check and Health Screening tests, including physical and TB Tests.
