About the position

Regency Senior Living is seeking a Marketing Coordinator to join our team at Regency Retirement of Huntsville. This position plays a crucial role in supporting the sales and marketing team through a variety of administrative and office support activities. The Marketing Coordinator will report directly to the Executive Director, while also working closely with the Regional Director of Sales and Marketing. This role is essential in ensuring that the marketing efforts are well-coordinated and that the community is presented in the best possible light to prospective residents and their families. The Marketing Coordinator will be responsible for managing inbound sales calls, performing general clerical duties, and preparing various documents such as correspondence, reports, and memos. Additionally, the coordinator will schedule and coordinate meetings and appointments, maintain collateral inventory, and assist with community tours. This position requires a proactive approach to ensure that all marketing materials are up-to-date and that the community is ready for tours and move-ins. The ideal candidate will be flexible and willing to take on additional tasks as requested by the Executive Director and Regional Director of Sales/Marketing. In this role, the Marketing Coordinator will also assist prospects with the transition into the community, ensuring that all move-in paperwork is accurate and that the rooms are ready for new residents. This position is vital for creating a welcoming environment and providing excellent customer service to potential residents and their families. The Marketing Coordinator will need to demonstrate strong communication skills, both written and verbal, and possess a customer service orientation to effectively engage with prospects and their families.

Responsibilities

  • Answer, screen and transfer inbound sales calls when needed
  • Perform general clerical duties including photocopying, faxing, and mailing
  • Prepare and modify documents including correspondence, reports, drafts, memos, and emails
  • Schedule and coordinate meetings and appointments as needed for next steps and move-in
  • Keep collateral inventory and marketing packets prepared
  • Conduct tours of the community when needed
  • Work with prospects on transitioning into the community
  • Provide and assist with move-in paperwork; ensure that it is accurate
  • Check room readiness for tours and move-ins; submit maintenance/housekeeping requests as needed
  • Perform other duties as requested by the Executive Director and Regional Director of Sales/Marketing

Requirements

  • Sales/marketing skills preferred but not required
  • Computer skills and knowledge of relevant software
  • Knowledge of operation of standard office equipment
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping
  • Knowledge of principles and practices of basic office management
