The Marketing Coordinator will act as the office manager and report directly to the Director of Sales & Marketing, assisting the department as needed. Responsibilities

  • Provide executive-level assistance to the Director of Sales & Marketing.
  • Act as office manager and assist the department as needed.
  • Monitor the sales email inbox for new inquiries and distribute effectively and timely.
  • Track and ensure purchasing orders are raised and coded according to the budget.
  • Submit invoices, purchasing orders, and internal requisitions to the respective department.
  • Assist with all internal marketing activations and events, including photoshoots.
  • Prepare resumes for marketing-related groups and assist with routing, deposits, and cut-offs.
  • Attend BEO meetings as needed for marketing-related events.
  • Support management of Sales Related Platforms such as FHR, Virtuoso, Signature, Cvent, and Lanyon.
  • Track all marketing-related data and coordinate assigned tasks for advertising and public relations.
  • Facilitate the tracking and reporting of all marketing expenditures.
  • Manage proactive posting and follow travel sites including Trip Advisor & Social Media Channels.
  • Prepare and distribute monthly newsletters and e-distributions via various channels.
  • Coordinate internal resources to create and facilitate mail campaigns, including targeted mailing lists and collateral material.
  • Build databases to track event activity and share with promotional partners.
  • Assist in planning and implementing marketing plans and conducting market research.

Requirements

  • Previous experience in a similar role.
  • Experience using Microsoft Office preferred.
  • Excellent customer service and positive interpersonal skills.
  • Excellent verbal and written communication skills.
  • Bachelor's degree in business, marketing, hospitality management, or communications is preferred, not required.
  • Ability to use effective judgment and handle confidential information.
  • Ability to cross-train within the department and carry out other functions when required.
  • Ability to work independently with little supervision.
  • Ability to effectively handle and prioritize multiple tasks simultaneously while meeting deadlines.
  • Excellent typing and organizational skills.
  • Detail-oriented with a strong level of professionalism.
