About the position

The Marketing Coordinator at Ivy Living plays a crucial role in supporting the Marketing Department by managing various administrative tasks essential for the smooth operation of the marketing functions within the senior living community. This position is based at The Carlotta, a premier senior living community known for its exceptional quality, comfort, and care. The Marketing Coordinator will be responsible for a range of activities that include organizing events, handling inquiries from potential residents and their families, and assisting with the onboarding of new residents. The role requires a proactive approach to ensure that the community is well-prepared for tours and that all marketing materials accurately reflect the services and amenities offered. The Marketing Coordinator will also engage with residents and families to foster a welcoming environment and ensure a seamless transition for new residents. In addition to administrative duties, the Marketing Coordinator will maintain a thorough knowledge of the community's offerings to effectively represent the property to referral sources and prospects. This includes conducting community tours, managing inquiries, and following up with potential residents to convert inquiries into tours and ultimately deposits. The position also involves planning and managing marketing events, ensuring they stay within budget, and actively participating in community events to promote the property. The Marketing Coordinator will serve as a liaison for new residents and their families, ensuring they feel supported and welcomed as they transition into their new home.

Responsibilities

  • Maintain a thorough knowledge of the property's product and services to effectively and accurately represent the property to referral sources and prospects.
  • Walk the community tour route at the start of each day to ensure that the community is ready for daily tours.
  • Give community tours as a backup to the Marketing Department.
  • Handle all inbound telephone, walk-in, and mail inquiries including completing the inquiry information card, maintaining the ups list, entering new inquiry information into the marketing database, and follow-up with all correspondence, as directed.
  • Qualify prospects, convert qualified prospects to tours, and convert tours to deposits using the sales process, as needed.
  • Organize, plan and manage all marketing events staying within the approved budget.
  • Actively attend and participate in resident, family inquiry, and referral source special events held both inside and away from the community.
  • Serve as a liaison for residents and family members new to the community. Ensure that all new residents have a smooth transition to their new home.
  • Completely and accurately follow a new move-in checklist.

Requirements

  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work collaboratively within a team environment.
  • Proficiency in using marketing databases and CRM systems.
  • Experience in event planning and management.

Nice-to-haves

  • Previous experience in a marketing role, preferably in the senior living or healthcare industry.
  • Familiarity with social media marketing and digital marketing strategies.
