About the position

Volt is seeking a Marketing Executive Assistant to provide comprehensive support to the VP of Marketing and the VP of Partnerships in a dynamic and fast-paced environment. This role is crucial for ensuring the smooth operation of the marketing department and requires a candidate who can manage multiple tasks efficiently while maintaining a high level of professionalism. The Executive Assistant will be responsible for managing the executives' schedules, preparing documents, and coordinating with various internal and external stakeholders. The ideal candidate will possess excellent organizational skills, attention to detail, and the ability to communicate effectively with senior executives and partners. In this position, the Executive Assistant will manage the calendar and scheduling needs of the VPs, ensuring that all appointments and meetings are organized and prioritized effectively. The role involves preparing meeting agendas, presentations, and reports, as well as creating presentations using tools such as Keynote, Google Docs, or the Microsoft Office Suite. The Executive Assistant will also be responsible for managing travel arrangements and expense reports, adhering to company policies regarding expenses. Confidentiality is paramount in this role, as the Executive Assistant will handle sensitive information and documents. The candidate will promote teamwork and collaboration within the department and with external partners, assisting with various departmental tasks such as conference room requests, team events, and employee recognition efforts. Additionally, the Executive Assistant will oversee the master schedule of partner communications and ensure alignment across priority projects and industry best practices. This is a full-time, 2-month contract position with the possibility of extension, operating on a hybrid schedule where the candidate will work in the office from Monday to Thursday and remotely on Fridays.

Responsibilities

  • Manage the schedule and calendar of the VP Marketing and VP Partnerships.
  • Prepare documents including meeting agendas, presentations, and reports.
  • Create presentations using Keynote, Google Docs, or MS Office Suite.
  • Coordinate with internal departments and external vendors for necessary information and approvals.
  • Manage travel arrangements and expense reports, adhering to company expense policies.
  • Maintain strict confidentiality regarding all matters and documents.
  • Promote teamwork and collaboration within the department and with external partners.
  • Assist with departmental tasks such as conference room requests and team events.
  • Oversee the master schedule of partner communications and portfolio status.
  • Provide strong international coordination across priority projects.

Requirements

  • 4 years of experience supporting high-volume executives.
  • Excellent computer proficiency in Mac & Windows, including Microsoft Word, Excel, PowerPoint, and Slack.
  • Exceptional professionalism and collaboration skills.
  • Demonstrated ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Detail-oriented with the ability to maintain professionalism under pressure.
  • Ability to anticipate needs and be proactive, resourceful, and flexible.
  • Strong organizational and follow-through skills to manage multiple projects simultaneously.
  • Effective verbal and written communication skills.
  • Proactive in identifying ways to improve productivity and efficiency.
