About the position

Volt is seeking a Marketing Executive Assistant to provide comprehensive support to the VP of Marketing and the VP of Partnerships in a dynamic and fast-paced environment. This role is crucial for ensuring the smooth operation of the marketing department and requires a candidate who can manage multiple tasks efficiently while maintaining a high level of professionalism. The Executive Assistant will be responsible for managing the executives' calendars, preparing documents such as meeting agendas and presentations, and coordinating travel and expenses. The ideal candidate will possess excellent organizational skills, attention to detail, and the ability to communicate effectively with both internal and external stakeholders. In this position, the Executive Assistant will interact with senior executives and their offices, as well as external partners, to facilitate communication and collaboration. The role involves preparing and managing various documents, including reports and presentations, and requires proficiency in tools such as Keynote, Google Docs, and the Microsoft Office Suite. The candidate will also be responsible for maintaining strict confidentiality regarding sensitive information and documents. The Marketing Executive Assistant will play a key role in promoting teamwork within the organization and will assist with various departmental tasks, including managing conference room requests, organizing team events, and supporting employee recognition efforts. Additionally, the assistant will oversee the master schedule of partner communications and ensure alignment across priority projects and industry best practices. This is a full-time, 2-month contract position with the possibility of extension, offering a hybrid work schedule with in-office work from Monday to Thursday and remote work on Fridays.

Responsibilities

  • Manage the schedule and calendar for the VP of Marketing and VP of Partnerships.
  • Interact with internal senior executives and external partners as needed.
  • Prepare documents including meeting agendas, presentations, and reports.
  • Create presentations using Keynote, Google Docs, or MS Office Suite.
  • Collaborate with internal departments and external vendors to gather necessary information and materials.
  • Manage travel and expenses, including creating expense reports and reconciling credit card accounts.
  • Maintain strict confidentiality regarding all matters and documents.
  • Promote teamwork and collaboration internally and externally.
  • Assist with departmental tasks such as conference room requests and team events.
  • Oversee the master schedule of partner communications and portfolio status.
  • Provide strong international coordination across priority projects and industry categories.

Requirements

  • 4 years of experience supporting high-volume executives.
  • Excellent computer proficiency on both Mac and Windows platforms, including Microsoft Word, Excel, PowerPoint, and Slack.
  • Exceptional professionalism and collaboration skills.
  • Demonstrated ability to prioritize tasks, meet deadlines, and make quick decisions.
  • Comfortable working in fast-paced environments.
  • Detail-oriented with the ability to maintain professionalism under pressure.
  • Ability to anticipate needs and be proactive, resourceful, and flexible.
  • Strong people skills to work effectively with executives, assistants, and staff at all levels.
  • Organizational skills with the ability to manage multiple projects simultaneously.
  • Effective verbal and written communication skills.
  • Proactive in identifying ways to improve productivity and efficiency.
