About the position

The Marketing Office Administrator at Morris Marketing Group is responsible for organizing and coordinating inter-office activities and procedures to ensure organizational effectiveness, efficiency, and productivity. This role requires a team player who is a creative thinker with a strong command of grammar and a keen eye for detail. The Office Manager will possess excellent communication, customer service, and relationship management skills, particularly under pressure. The ideal candidate will have experience handling a wide range of administrative and executive support tasks and will be able to work independently with minimal supervision. They must be exceedingly well organized, flexible, and capable of managing people and projects, as well as special events, while enjoying the administrative challenges of supporting a diverse office environment. In this role, the Office Administrator will be tasked with project trafficking to ensure all projects meet deadlines and stay within budget. They will input jobs, manage workflow, and ensure timely completion of projects using project management software. Additionally, the Office Administrator will develop project schedules and coordinate task assignments with the team. Office management responsibilities include organizing and scheduling meetings and appointments, managing office operations, procedures, filing, and record keeping, as well as coordinating with IT and service providers regarding office equipment. The Office Administrator will also manage relationships with vendors, service providers, and the landlord, serve as the point person for maintenance, mailing, shopping, supplies, equipment, bills, and errands, and provide general support to visitors. They will act as a company cultural ambassador and contribute to the company’s social media presence, as well as manage company parties, happy hours, and events.

Responsibilities

  • Project Trafficking to ensure all projects meet deadlines and are on budget.
  • Input jobs, manage workflow, and ensure timely completion of projects in project management software.
  • Develop project schedules within and coordinate task assignments with team.
  • Organize and schedule meetings and appointments.
  • Organize office operations, procedures, filing and record keeping.
  • Coordinate with IT/Service providers on all office equipment.
  • Manage relationships with vendors, service providers, and landlord.
  • Serve as the point person for maintenance, mailing, shopping, supplies, equipment, bills, and errands as needed.
  • Provide general support to visitors.
  • Act as a company cultural ambassador.
  • Contribute to company social media pages.
  • Manage company parties, happy hours, and events.

Requirements

  • Proven office management, administration, or project management experience.
  • Excellent proficiency in Microsoft Office Suite including MS Word, MS Excel, and PowerPoint.
  • Experience in Constant Contact or Mailchimp.
  • Experience in project management software, specifically Function Fox, is helpful.
  • Knowledge of office management responsibilities, systems, and procedures.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills.
  • Proficiency and interest in all social media platforms - Facebook, Instagram, Twitter, etc.
  • Excellent proofreading skills.
  • Excellent business writing/composing skills with strong emphasis on correct grammar and proper format.
