About the position

The Marketing & Operations Coordinator at Fredrikson & Byron is a full-time role focused on supporting the Marketing and Business Development (MBD) team. This position is essential for ensuring efficient operations and processes, allowing the team to concentrate on strategic initiatives. The coordinator will handle various tasks including invoice management, CRM data maintenance, marketing technology support, and event coordination, all while working in a hybrid environment.

Responsibilities

  • Submit MBD invoices and team reimbursement requests.
  • Track unpaid invoices and troubleshoot issues with finance.
  • Process marketing transfer and budget reclassification requests.
  • Perform data clean-up and maintenance in the firm's CRM system.
  • Update contact information and add new contacts to mailing lists as requested.
  • Run monthly CRM reports.
  • Distribute and track usage of firm season tickets.
  • Process financial transfers based on ticket usage.
  • Communicate sponsorship benefits and ticket opportunities to the firm.
  • Maintain the MBD intranet page.
  • Offer PowerPoint template support and update presentations as needed.
  • Assist with Excel reporting, survey builds, and other marketing technology needs.
  • Provide technical support and troubleshooting for various marketing tools and applications.
  • Process and fulfill merchandise orders for all office locations.
  • Maintain accurate inventory tracking.
  • Research market trends and identify new merchandise opportunities.
  • Handle custom order requests and special merchandise projects.
  • Occasionally staff MBD or firm events at the request of the Events & Sponsorships (E&S) team.
  • Post events and sponsorships on the firm intranet.
  • Assist the E&S team with materials and preparation for activities.
  • Assist with travel accommodation planning and other ad-hoc requests.
  • Coordinate MBD team meeting logistics, including scheduling, A/V, and catering.
  • Support the new attorney onboarding process.
  • Collaborate with the Senior Graphic Designer and Marketing Operations Specialist to track and distribute MBD printed collateral.
  • Assume other duties as assigned or apparent.

Requirements

  • Bachelor's degree or equivalent practical experience.
  • 2+ years of experience in marketing operations, business operations, or an administrative support role.
  • Experience working with CRM systems and maintaining data integrity.
  • Experience with expense management and invoicing systems.
  • Proficiency in standard business software applications such as Microsoft Office (Word, Excel, PowerPoint, Teams); experience with project management tools (e.g., Smartsheet) is a plus.
  • Ability to work a hybrid in-office schedule; occasional early morning or evening work is required.
