About the position

BM Innovations is seeking a Marketing Operations Coordinator to manage and organize outdoor advertising operations. This role is essential for ensuring that advertising efforts are executed smoothly and efficiently, focusing on data management, vendor coordination, and documentation organization.

Responsibilities

  • Input marketing data accurately into tracking systems
  • Update and maintain databases with current campaign information
  • Assist in generating and formatting marketing reports and performance metrics
  • Communicate trafficking instructions to vendors and ensure timely execution
  • Act as a point of contact for campaign-related inquiries and coordinate vendor communications
  • Track and confirm vendor receipt and fulfillment of campaign materials
  • Maintain and organize files related to outdoor advertising, including contracts and trafficking instructions
  • Ensure all advertising assets are up-to-date and accessible
  • Track and archive all vendor-related communications and contract documentation
  • Schedule and monitor deadlines for campaign launches and deliverables
  • Track vendor availability and align campaign timelines accordingly
  • Coordinate resource allocation, including tool subscriptions and access as needed
  • Review advertising materials and instructions for accuracy and completeness
  • Verify all required sign-offs are obtained before campaign launches
  • Maintain detailed checklists to track deliverables and ensure quality standards are met

Requirements

  • 1+ years of administrative, marketing, or operations support experience, preferably in an advertising or marketing environment
  • Associate's degree or equivalent experience in Marketing, Business Administration, Communications, or a related field
  • Proficiency in Microsoft Excel (advanced functions), Google Workspace, project management tools, and budgeting software (QuickBooks, NetSuite, or similar)
  • Exceptional attention to detail, with a strong ability to maintain organized records and documentation
  • Strong written and verbal communication skills for internal and vendor correspondence
  • Ability to prioritize tasks effectively and handle multiple deadlines
  • Proactive approach to troubleshooting and finding solutions
