About the position

The Marketing Operations Specialist position at California State University Stanislaus is a full-time role classified as Administrative Analyst/Specialist Exempt III. This position is available on or after September 3, 2024, within the Continuing and Professional Education department. The incumbent will work under the general supervision of the Professional, Community, and Global Engagement Director and will be responsible for managing marketing operations, including acting as the Salesforce Administrator. The role involves administration of the marketing automation system (Salesforce Account Engagement) and the CRM (Salesforce/EDA). Additionally, the specialist will serve as the administrator for the project management software, Asana, ensuring that all projects flow efficiently through the Marketing & Communication (Marcom) department. The Marketing Operations Specialist will serve as a technical advisor to the Executive Director of Marketing & Communications, providing expertise in tracking and analyzing student enrollments and marketing responses. The role requires analyzing and addressing issues related to the integration of PeopleSoft with Salesforce processes. The incumbent will represent the department as a Subject Matter Expert to the larger University community and will be the primary point of contact for data integration, maintaining database integrity, and ensuring accurate correspondences based on marketing funnels. In addition to these responsibilities, the specialist will conceptualize and create reports based on user-defined data access needs, troubleshoot data access and software interface problems, and provide technical support to end-users. The role also includes managing project schedules, budgets, and quality control throughout project development, as well as training staff and faculty on Salesforce and other software. The position requires ongoing training and self-study to maintain expertise in the software used within the department, along with other duties as assigned.

Responsibilities

  • Serve as technical advisor to the Executive Director of Marketing & Communications, offering expertise in tracking and analysis of student enrollments and marketing responses.
  • Analyze and address problems related to the integration of PeopleSoft to Salesforce processes.
  • Act as the Salesforce CRM, Salesforce Account Engagement, and Salesforce Experience Cloud program administrator.
  • Maintain database integrity, researching and updating records as needed.
  • Program and maintain the Salesforce ecosystem functions to ensure accurate correspondences based on marketing funnels.
  • Primary liaison for projects involving Salesforce with clients, IT, PeopleSoft, and other campus divisions.
  • Conceptualize and create reports based on dean, director, and user-defined data access needs in Salesforce.
  • Identify, troubleshoot, and resolve data accessing and software interface problems.
  • Monitor data quality, migrations, and integrations.
  • Evaluate and configure CRM system, and provide detailed end-user documentation.
  • Provide technical support to end-users, diagnosing and resolving problems.
  • Create, run quarterly database maintenance reports.
  • Create, maintain, and update forms via Experience Cloud.
  • Serve as the Salesforce liaison between PCGE, stateside graduate programs, and consultants.
  • Research and utilize analytical software as needed to present and interpret findings.
  • Develop long- and short-term plans, including setting targets for milestones and adhering to deadlines.
  • Manage and perform quality control on projects throughout development to maintain expected standards.
  • Delegate tasks on projects to employees best positioned to complete them.
  • Adjust schedules and targets on projects as needs or financing change.
  • Present progress reports, as well as problems and solutions, to stakeholders.
  • Develop and present reports to the Executive Director.
  • Prepare a budget based on the scope of work and resource requirements.
  • Manage and track project costs to meet the budget.
  • Develop and manage a detailed project schedule and work plan.
  • Measure project performance to identify areas for improvement.

Requirements

  • A bachelor's degree and/or equivalent training.
  • Minimum of five (5) years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
  • Two years of experience with editing, querying, organizing, and managing data, preferably in higher education.
  • Experience in the California State University system, continuing higher education or university setting.
  • One or more years of Salesforce and Salesforce Account Engagement administration experience.
  • Proficiency in building and maintaining Salesforce custom objects, formula fields, workflows, custom views, dashboards, and reports.
  • Experience in using Salesforce Community, Experience Cloud, and automated email marketing.
  • Proficiency with Microsoft Office Suite: Word, Excel, Outlook, Teams.

Nice-to-haves
