About the position

The Marketing Project Management Specialist is a junior-level role responsible for overseeing the workflow of 200-400 marketing projects annually, ensuring that both print and digital projects are completed on time and within budget. This position involves coordinating multiple projects simultaneously, managing schedules, and facilitating communication among team members to meet project milestones and deadlines in a fast-paced environment.

Responsibilities

  • Oversee the workflow of 200-400 projects annually, ensuring project milestones and deadlines are met.
  • Coordinate the project workflow of multiple projects through Creative, Brand, Art Buying, Production, and Studio processes.
  • Work with team members to create project schedules and timelines, confirming project scope and details prior to kickoff meetings.
  • Facilitate the movement of projects through project milestones and coordinate project status and approval processes.
  • Schedule and lead all meetings, providing continuous follow-up and tracking the progress of each project.
  • Proactively identify project issues and provide recommendations for problem resolution.
  • Review all work/creative output for quality control and readiness to move to the next process.
  • Train new Project Specialists and Marketing Team Members on processes and workflow.
  • Perform other duties and special projects as assigned.

Requirements

  • Bachelor's degree in Marketing, Public Relations, or Communications.
  • 1 to 3 years of project coordination/management, traffic, or marketing experience, preferably in an agency or corporate advertising environment.
  • Workflow experience with Microsoft Office (Word, Excel, PowerPoint), Filemaker Pro, Microsoft Project, Smartpath, Workgroups, or other process software preferred.
  • Knowledge of creative, print production, digital, and media processes and timetables.
  • Ability to work independently and collaboratively as part of a dispersed team.
  • Ability to make decisions under tight time constraints.
  • Experience managing teams of creative and brand individuals.
  • Detail-oriented with strong organizational skills and the ability to multi-task.
  • Exceptional communication skills, both oral and written.

Nice-to-haves

  • Knowledge of print production processes and project management of interactive/digital jobs.
