About the position

A nondenominational Christian global ministry is seeking a Marketing Coordinator to assist in the complete, thorough, and successful alignment of marketing projects with the organization's strategic goals. In this role, you will coordinate the workflow of marketing projects, including intake and closing, data information and reporting, and global content sharing. The Marketing Coordinator will play a crucial role in ensuring that all marketing initiatives are executed efficiently and effectively, aligning with the ministry's mission and objectives. This position requires a proactive individual who can manage multiple projects simultaneously while maintaining a high level of organization and communication with various stakeholders. The Marketing Coordinator will be responsible for coordinating the capacity and project scheduling for marketing project managers, keeping an accurate account of each project manager's project load, and ensuring all projects are reflected in the dashboard. This includes processing project request forms, scheduling meetings, and assigning tasks to the appropriate project manager. The role also involves coordinating and assigning project ticket numbers, creating and organizing folders to house working documents and files for all projects, and creating marketing plan worksheets for customers and designated stakeholders. Additionally, the coordinator will process project closing and reporting, obtain all billable hours, and generate reports for the finance team. The position requires updating reporting for project management monthly tracking, scheduling retrospective meetings, and creating/distributing feedback documents. The Marketing Coordinator will also store and organize all final output files in Quark and coordinate global content sharing to provide global teams with working files. Collaboration with the organization-wide digital team is essential to ensure all fields for social media are uploaded appropriately for global distribution. Furthermore, the coordinator will work with leadership to assist in coordinating surveys and will support and coordinate banquets, celebrations, and open houses as needed.

Responsibilities

  • Coordinate the capacity and project scheduling for marketing project managers.
  • Keep an accurate account of each project manager's project load and ensure all projects are reflected in the dashboard.
  • Process project request forms, schedule meetings, and assign tasks to the appropriate project manager.
  • Coordinate and assign project ticket numbers and create and organize folders to house working documents and files for all projects.
  • Create marketing plan worksheets for customers and designated stakeholders, process changes as needed, and create formal marketing plan documents for records and distribution.
  • Process project closing and reporting; obtain all billable hours and generate a report for the finance team.
  • Update reporting for project management monthly tracking.
  • Schedule retrospective meetings and create/distribute feedback documents.
  • Store and organize all final output files in Quark.
  • Coordinate global content sharing to provide global teams with working files.
  • Work with organization-wide digital team to ensure all fields for social media are uploaded appropriately for global distribution.
  • Work with leadership to assist in coordinating surveys.
  • Work cross-functionally with supply chain to process envelope orders and reprints; submit and track envelope orders/reprints for mailings.
  • Process orders for ancillary products and event displays.
  • Work cross-functionally to support and coordinate banquets, celebrations, and open houses.

Requirements

  • Bachelor's degree in marketing, communications, or a related field.
  • 2+ years of administrative coordination and/or marketing coordination experience required.
  • Ability to coordinate multiple marketing efforts and initiatives simultaneously in support of both internal and external stakeholders, at all levels of the organization.
  • Excellent interpersonal and communication skills, enabling effective collaboration with cross-functional teams.
  • Demonstrated ability to manage multiple tasks and assignments concurrently, prioritizing workload effectively to meet deadlines and deliverables.
  • Self-motivated and capable of working independently with minimal supervision, while also thriving in a team-oriented environment.
