About the position

Join a team of awesome agents and a powerhouse “Back of House” team to support a team of sales agents in their day-to-day business transactions. This role is a great opportunity to understand the workings of a highly successful real estate agent/team in NYC. The experience gained will be industry-leading. In this role, you will support agents in their daily tasks related to the sales listing and buyer process. This includes creating listing agreements, coordinating signatures, and managing various aspects of the sales pipeline. You will also be responsible for overseeing coop/condo Board Packages, updating listings online, facilitating deal sheets, and tracking contracts. Additionally, you will lead marketing efforts, manage the execution of sales listing activities, and ensure data accuracy in our CRM system. The position requires a high level of attention to detail and the ability to thrive in a fast-paced environment, making it ideal for someone who is solutions-driven and personable.

Responsibilities

  • Support agents in their day-to-day role/s with tasks related to the sales listing/buyer process including creating listing agreements, coordinating signatures, and sending them to the listings department.
  • Coordinate with management companies to build due diligence documents.
  • Enter new listings into listing distribution systems, StreetEasy, and upload all media.
  • Act as the point person on overseeing coop/condo Board Packages with the help of a third party.
  • Contact management for any building/unit questions from customers.
  • Update listings online for price drops, status changes, etc.
  • Facilitate deal sheets and necessary information for accepted offers.
  • Track contracts and follow up with attorneys.
  • Coordinate interviews and closings when buyer applications are approved.
  • Send out commission bills and payment instructions to attorneys.
  • Submit expenses for marketing reimbursements.
  • Lead and execute upon the marketing efforts required for sales listing/buyer pipeline, managing/working with a marketing specialist.
  • Run point on the execution of sales listing activities such as photography scheduling, staging, and advertising.
  • Own the data accuracy of our CRM (via Hubspot) relating to the sales pipelines.
  • Vet new referral opportunities for the sales agents.
  • Analyze and present comps, mostly for appraisals.
  • Manage project management systems (Asana & Hubspot) effectively to ensure all tasks are completed.
  • Work with the back of house team and outside vendors and stakeholders.
  • Introduce potential new agents to the team leader.

Requirements

  • 2 years of sales support experience.
  • Knowledge of Google Suite.
  • Knowledge of the Sales Process (buyer & listing).
  • Knowledge of the Mortgage Process.
  • Knowledge of Board Packager.
  • Ability to multitask & prioritize.
  • Ability to thrive in a high-paced environment.
  • Excellent time management skills.
  • Experience with CRM & project management software.
  • High level of attention to detail.
  • Excellent communication skills.
  • Experience working with multiple agents/transactions simultaneously.

Nice-to-haves

  • NY Real Estate license is a plus but not essential.
  • Experience in personal development and/or business coaching (Tony Robbins, Tom Ferry, Brian Buffini, Ninja Selling, etc.).
  • Knowledge of Hubspot.
  • Knowledge of Asana.
