About the position

The Materials Coordinator at Ben Franklin Transit (BFT) is responsible for managing inventory control activities related to vehicle maintenance and ensuring compliance with agency standards and legal requirements. This role involves maintaining accurate inventory data, purchasing materials, coordinating inspections, and monitoring environmental compliance, all while upholding the agency's mission of providing exceptional transportation services.

Responsibilities

  • Maintain accurate, complete, and current inventory data through a Material Resource Planning (MRP) process.
  • Purchase specific, assigned group of parts, materials, or products common for the Agency; dispense material and supplies to departments.
  • Maintain records for inventory, equipment inspections and maintenance, and purchasing.
  • Identify discrepancies in quantities ordered/received and damaged goods; determine whether an exchange, credit, or repair is warranted.
  • Coordinate required equipment inspections on transit vehicles with contracted vendors; confirm inspections occur in accordance to schedule; review inspection documentation for completion and accuracy.
  • Perform inspection on Oil/Water Separator (OWS) in accordance with federal, state, and local regulations; schedule with contracted vendor for maintenance as needed.
  • Collect, document, and maintain stormwater samples as required by the Washington State Department of Ecology's Stormwater Monitoring Program; coordinate the submission of required reports to Ecology.
  • Monitor the Agency's Underground Storage Tank (UST) system following Washington State regulations; perform maintenance as needed.
  • Receive and analyze assigned purchase requisitions to ensure information is complete and accurate; approve requisitions for payment.
  • Perform shipping/receiving activities of materials; review error reports and resolve related pricing, quantity, and freight terms discrepancies.
  • Coordinate with contracted vendor for delivery and return of mechanic uniforms.
  • Coordinate the fire alarm system and perform periodic testing with vendors.
  • Maintain cleanliness in the shop.
  • Demonstrate regular and punctual attendance.

Requirements

  • Associate's Degree in Business Administration, Public Administration, or relevant field from an accredited institution.
  • Two years of experience in purchasing a variety of supplies, materials, and services; or an equivalent combination of experience and education.
  • Must possess a valid driver's license.
