About the position

The Maternal and Infant Health Administrative Assistant (Administrative Specialist I) provides essential administrative support to the Maternal & Infant Health Program's Perinatal Care Coordination (PEACE) Project and the Reproductive Health Expansion project. This role involves advanced administrative functions requiring independent judgment and analysis, including managing program activities, coordinating meetings, and supporting client registration efforts at off-site clinics. The position also facilitates collaboration with other health department programs and community partners, ensuring effective outreach and program management.

Responsibilities

  • Provide general administrative support to the Maternal & Infant Health Program Manager and M&I programs and projects.
  • Organize in-person, virtual, and hybrid program meetings using various platforms such as Zoom and MS Teams.
  • Maintain calendars, coordinate outreach activities, and manage inventory of pregnancy support items and office supplies.
  • Record minutes for meetings and summarize action items discussed.
  • Prepare forms and written ledgers for fiscal processing from various grants/budgets.
  • Assist in planning, preparation, implementation, and promotion of program outreach events.
  • Collect and compile data for monthly, quarterly, and yearly reports and Health Stats.
  • Determine eligibility for new and existing Maternal health programs and provide client registration support.
  • Monitor program data in the REDCap system and create reports to share with leadership and community stakeholders.
  • Participate in Emergency Preparedness drills and seasonal flu vaccination clinics.

Requirements

  • Graduation from an accredited high school or possession of a high school equivalency certificate.
  • Six months of experience performing administrative staff, clerical, technical, or secretarial work.
  • Bilingual in Spanish is preferred.
  • Experience with electronic medical records and basic medical billing processes.

Nice-to-haves

  • Extensive experience and knowledge using Microsoft Word, Excel, PowerPoint, and Outlook.
  • Experience with OneDrive, Skype for Business, MS Teams, and WebEx.
  • Experience communicating with internal and external customers in a professional setting.
