About the position

The Medical Administration Specialist serves as a Health Administrative Specialist on Duty (HOD) within the Department of Veterans Affairs, specifically in the Office of the Chief, Health Administration Service (HAS), Business Office (BO), or Medical Administration Service (MAS). This role is critical as it encompasses both the authority and responsibility to represent the Medical Center Director and the Chief of HAS on all administrative matters that arise during non-standard working hours. The incumbent is expected to maintain continuity of functions and provide comprehensive medical administrative support to both clinical and administrative staff during these times. This position is not only about managing day-to-day operations but also involves responding to emergencies, processing administrative issues related to patient care, and ensuring compliance with legal and procedural requirements. The Medical Administration Specialist will also conduct analytical studies on operational processes and provide technical guidance to meet the necessary administrative requirements. The role requires a proactive approach to problem-solving and the ability to make sound decisions in a fast-paced environment.

Responsibilities

  • Exercise full authority and responsibility to address medical administrative matters and issues as delegated by the Medical Center Director.
  • Represent management in non-policy making administrative matters.
  • Ensure lawful retention of veterans in the VAMC and maintain continuity of functions during non-standard hours.
  • Provide technical guidance to meet procedural, legal, and administrative requirements related to patient care.
  • Process administrative issues surrounding beneficiary death, seriously ill cases, elopements, suicides, assaults, deaths on arrival (DOAs), homicides, code blue situations, cost recovery matters, and facility or community disasters.
  • Assist in responding to emergencies and determine priorities and nature of action to be taken.
  • Maintain good public and media relations as instructed by the Public Affairs Officer until the designated employee arrives.
  • Conduct analytical studies on operational processes and related special projects as assigned.
  • Review data and information for trends and problem areas, making recommendations to management to resolve issues.

Requirements

  • U.S. Citizenship is required to apply for this job.
  • Selective Service Registration is required for males born after 12/31/1959.
  • One year of specialized experience equivalent to at least the GS-05 level in the normal line of progression for the occupation in the organization, or education equivalent to one full year of graduate-level education, or a combination of education and experience.
  • Basic knowledge of medical center organization, functions, specialties, and programs.
  • Ability to cope with a wide variety of problems and resolve them quickly and decisively.
  • Experience in reviewing data and information for trends and making recommendations to management.

Nice-to-haves

  • Experience in a healthcare setting, particularly within a Veterans Affairs context.
  • Familiarity with medical administrative concepts, principles, and practices.
