About the position

The Medical Administrative Assistant at Mayo Clinic is a multifaceted professional role responsible for coordinating and managing complex clinical, technical, and administrative functions across multiple departments. This position requires independent judgment, strong organizational skills, and the ability to adapt to rapidly changing priorities while supporting the daily operations of patient care areas.

Responsibilities

  • Coordinate and manage complex clinical, technical, and administrative functions.
  • Exercise independent judgment and discretion in daily tasks.
  • Adapt to rapidly changing priorities and coordinate multiple projects.
  • Look for innovative ways to improve work procedures and methods.
  • Collaborate with internal and external contacts to complete job duties and resolve problems.
  • Support daily operations and activity flow in the patient care area.
  • Obtain and import patient-related materials into electronic health records.
  • Manage and coordinate provider calendars for optimal performance.
  • Triage a high volume of patient calls, messages, and faxes.
  • Act as a liaison for referring physicians and coordinate complex appointments.
  • Coordinate departmental meetings, event planning, and travel arrangements.
  • Create and manage departmental web pages and generate reports and presentations.
  • Process professional licensing, dues, and expenses in a timely manner.
  • Assist with physician recruitment and rotations from different Mayo locations.
  • Manage inventory of office supplies and equipment.
  • Support administrative and project needs of department leadership.

Requirements

  • High School diploma or equivalent with a minimum of two years of experience in an administrative support role, or a degree in healthcare administration.
  • Proficiency with advanced computer systems/applications and Microsoft Office Suite.
  • Working knowledge of medical terminology is strongly preferred.
