About the position

The Medical Administrative Assistant/Receptionist plays a crucial role in facilitating the communication functions of the business office while providing essential clerical support. This position is primarily responsible for ensuring smooth operations within the medical office environment, which includes managing incoming communications, maintaining patient confidentiality, and supporting the overall mission of the agency. The role requires a high level of organization and interpersonal skills, as the assistant will interact with patients, families, and healthcare professionals on a daily basis. In this full-time position, the Medical Administrative Assistant will work Monday to Friday from 8:30 AM to 5 PM, with no weekend shifts required. The work environment is a routine office setting, where the noise level may be moderately high. The assistant will be expected to handle various clerical tasks, such as preparing admission and orientation packets, managing office supplies, and performing data entry. Additionally, the role involves answering incoming calls, documenting messages, and assisting with the maintenance of personnel files. The assistant will also be responsible for promoting a positive image of the agency to patients and families, ensuring effective communication among team members, and maintaining confidentiality at all times. The position may require some physical effort, including prolonged sitting, occasional lifting of items weighing up to fifty pounds, and the ability to work under stressful conditions to meet deadlines and patient needs. Overall, this role is vital for the efficient operation of the medical office and the delivery of quality care to patients.

Responsibilities

  • Facilitate the communications functions of the business office.
  • Provide clerical support including preparation of admission, orientation, and new hire packets.
  • Monitor and order office supplies and forms.
  • Type documents and perform special projects, filing, and copying.
  • Manage mail distribution and phone system, answering incoming calls and documenting messages.
  • Assist with the maintenance of personnel files.
  • Promote the agency philosophy and mission by presenting a positive image to patients, families, and community agencies.
  • Provide computer support and data entry.
  • Ensure effective communication to patients/families, team members, and other healthcare professionals while maintaining confidentiality.
  • Perform other duties as required.

Requirements

  • High School Graduate (College Preferred).
  • One year of general office experience.
  • Excellent computer skills required.
  • Excellent interpersonal and organizational skills.
  • Knowledge of medical terminology preferred.
  • Ability to type 40 to 50 WPM.
  • Reliable transportation.
