About the position

The Medical Assistant (MA) at Hoag Concierge Medicine Executive Programs plays a crucial role in maintaining a professional environment and ensuring effective communication between patients and physicians. The MA is responsible for non-clinical tasks that facilitate patient access and flow, including scheduling appointments, managing pre-authorization processes, and acting as a liaison between providers and patients. This position requires collaboration with staff to ensure all necessary records and testing are completed prior to appointments, thereby impacting patient health and treatment options.

Responsibilities

  • Maintain a highly professional environment and collaborative relationship with patients and physicians.
  • Assist with scheduling patients for follow-up visits, imaging, and lab work.
  • Prepare appropriate chart elements for patient appointments.
  • Manage the pre-authorization process for patient services.
  • Act as a liaison between providers and patients to ensure smooth communication.
  • Ensure all proper records are received and testing is completed prior to appointments or surgery dates.
  • Provide updates to staff and patients regarding timing and status of tasks affecting patient health and treatment options.
  • Facilitate even patient flow and continuous communication within Hoag and referring physician offices.

Requirements

  • High school diploma or GED required.
  • Graduate of Medical Assistant program or one year of previous medical back-office experience, preferably in an acute healthcare system environment.
  • Basic keyboarding skills and knowledge of Microsoft Office Suite (Outlook, Word, Excel).
  • Basic knowledge of medical terminology.
  • Current BLS Certification required.
  • CPR certification required or willingness to obtain within 30 days of hire.
  • Current Limited Phlebotomy Certification.

Nice-to-haves

  • Associate or Bachelor's degree in a healthcare-related field preferred.
  • Minimum one year of previous medical back-office experience, preferably in an acute healthcare system environment.
  • Working knowledge of EPIC or other Electronic Medical Record (EMR) systems.
  • Bilingual or multilingual candidates preferred.
  • Certified Medical Assistant certification preferred.
