About the position

The Medical Billing Manager at Heart of America Eyecare is responsible for overseeing the financial operations of a busy ophthalmology practice. This role involves managing the billing process, ensuring accurate collections, and providing support to the revenue cycle team. The ideal candidate will have extensive experience in medical billing management, particularly in ophthalmology, and will play a key role in maintaining the financial health of the practice while ensuring compliance with billing regulations.

Responsibilities

  • Reconciles all cash transactions daily and formulates bank deposits as needed.
  • Prepares and distributes monthly financial and patient reports to the Practice Administrator.
  • Posts all insurance payments daily and maintains a monthly account of receivables over 30, 60, and 90 days.
  • Runs patient statements bimonthly and addresses overdue accounts according to policy.
  • Oversees the collection process and reconciles credit card balances daily.
  • Handles patient complaints regarding billing in a timely manner.
  • Coordinates patient and insurance refunds and manages billing collections and deposits.
  • Enters all charges and credits daily and transmits insurance claims as instructed.
  • Oversees the day-to-day operation of the in-house computer system and ensures efficient functioning.
  • Coordinates the printing of daily superbills, insurance forms, and patient bills.
  • Tracks attendance and approves timecards for department members.
  • Provides ongoing training and support to team members regarding insurance requirements and billing practices.
  • Participates in leadership and management team meetings.

Requirements

  • High School Diploma or GED preferred.
  • 3+ years of supervisory or management experience in a medical office.
  • 5+ years of experience in medical billing.
  • Ophthalmology experience strongly preferred, but not required.
  • Knowledge of medical billing/collection practices and business office procedures.
  • Knowledge of basic medical coding and third-party operating procedures.
  • Ability to operate a computer and basic office equipment.
  • Skill in answering a multi-line telephone system in a pleasant manner.
  • Must be well organized and detail-oriented.

Nice-to-haves

  • Experience in ophthalmology is preferred but not mandatory.
