About the position

Welcome to Mental Wellness For Life, A Nursing Corporation. We are excited to invite you to join our team as a Medical Executive Assistant, where you will play a crucial role in supporting our psychiatric nurse practitioners. This position is designed for an enthusiastic and capable individual who is ready to take on a variety of customer service and administrative tasks. As the Executive Assistant, you will be responsible for managing the patient intake process, scheduling and rescheduling appointments, verifying insurance eligibility and benefits, and providing exceptional customer service to our patients. Your role will be a blend of executive support and direct customer interaction, making it essential for you to possess strong communication skills and a detail-oriented mindset. In this position, you will handle incoming patient calls, manage the practice calendar, and ensure that all patient records are organized and up-to-date. You will also be responsible for creating, editing, and managing patient electronic health record accounts, as well as assisting in the creation and distribution of email and SMS templates for various communications. Your ability to maintain an organized workflow and provide administrative support will be key to the success of our practice and the satisfaction of our patients. We are looking for someone who is self-motivated, capable of working independently, and also enjoys being part of a cooperative team environment.

Responsibilities

  • Answering/responding to prospective patient calls, emails and texts
  • Intake process including receiving calls, collecting insurance information, adding to the EHR, sending out intake forms and consents, following up with patients
  • Checking eligibility / benefits for patients
  • Scheduling/Rescheduling of Appointments
  • Setting up daily patient encounter schedule and opening daily progress notes
  • Maintain an organized and up-to-date calendar for the psychiatric nurse practitioner, scheduling patients, appointments, and events as needed
  • Act as the primary point of contact for customer inquiries and provide top-tier customer service
  • Create, edit, and manage patient electronic health record accounts
  • Handle incoming patient calls, address patient concerns, and schedule/reschedule patient appointments
  • Assist in creating and sending out email and SMS templates for various purposes
  • Provide administrative support by managing documentation, filing, and organizing company records
  • Answer incoming phone calls in a professional and courteous manner

Requirements

  • Excellent written and verbal communication skills
  • Perfectionist mindset with strong attention to detail
  • Strong organizational and time management abilities
  • Proficiency in Google Suite (Docs, Sheets, Presentations)
  • Self-motivated and capable of working independently and as a cooperative team member
  • Prior experience in customer service preferred
  • 1 year of insurance verification experience
  • 2 years of working in a medical company
