About the position

The Administrative Services Specialist (Front Desk) at My Left Foot Children's Therapy is a part-time role focused on providing exceptional customer service and support to patients, families, and staff in a pediatric therapy clinic. The position requires a warm and friendly demeanor, strong organizational skills, and the ability to handle various administrative tasks while ensuring a welcoming environment for all visitors.

Responsibilities

  • Greet patients and their families, therapists, and visitors in a prompt, friendly, and courteous manner.
  • Assist patients with the check-in process.
  • Receive copayments for services and record those payments accurately.
  • Answer questions regarding services, policies, or the mission of the clinic.
  • Refer financial questions to the appropriate Patient Financial Services personnel.
  • Maintain confidentiality of medical, personal, and financial information.
  • Handle patient complaints or issues with courtesy and respect.
  • Follow safety procedures to maintain clinic security and control access from the reception desk.
  • Escort and supervise vendors entering the clinic for maintenance or repairs.
  • Inspect clinic areas for safety and cleanliness multiple times a day.
  • Submit work orders for hazardous conditions or maintenance issues immediately.
  • Report findings of hazardous conditions or maintenance issues to the Administrative Services Manager.
  • Remedy cleanliness issues within the clinic immediately upon notice.
  • Inspect the entrance area for cleanliness and remedy issues to ensure a positive first impression.
  • Assist and support therapists with their needs.
  • Train new Administrative Services Specialists on necessary skills and tools.
  • Complete closing duties and lock-up the clinic at designated times.
  • Assist with special events and holiday activities at the clinic.
  • Ensure patients' families feel comfortable and respected in the clinic.
  • Use exceptional interpersonal skills when communicating with employees, patients, and vendors.
  • Uphold the mission, ethics, policies, and procedural standards of the clinic.
  • Foster a culture of inclusivity, equality, and respect among employees and the community.

Requirements

  • Bilingual in English and Spanish required.
  • Minimum of 2 years' experience in customer service.
  • Strong organizational skills and problem-solving abilities.
  • Ability to work well with children and families.
