About the position

The Medical Front Office Coordinator at Complex Vein and Vascular Specialists is responsible for providing exceptional patient care and administrative support in a busy medical practice. This role involves managing patient interactions, scheduling appointments, and ensuring smooth office operations while adhering to HIPAA regulations. The coordinator plays a vital role in creating a welcoming environment for patients and facilitating efficient healthcare delivery.

Responsibilities

  • Welcome patients with a warm and professional demeanor, ensuring they feel comfortable and valued from the moment they walk in.
  • Efficiently manage patient check-in and check-out processes, including collecting co-pays, deductibles, and outstanding balances.
  • Conduct insurance verifications and obtain necessary authorizations and referrals to ensure seamless patient care.
  • Schedule appointments and procedures with precision, optimizing the surgeon's schedule for maximum efficiency.
  • Answer, screen, and direct incoming phone calls with professionalism and accuracy.
  • Adhere to HIPAA regulations to protect patient confidentiality.
  • Perform various administrative duties as needed to support the smooth operation of the office.

Requirements

  • High school diploma or equivalent is required.
  • Minimum of 3 years of experience in a front desk role within a physician's office.
  • Strong working knowledge of insurance coverages and billing processes.
  • Experience with Electronic Medical Records (EMR) systems; proficiency with E-Clinical Works preferred.
  • Experience with basic desktop software including Microsoft Office.
  • Excellent time management skills with the ability to multitask and prioritize effectively.
  • Attention to detail and accuracy in record-keeping.
  • Excellent customer service and communication skills.
  • Fluent in English.

Nice-to-haves

  • Bilingual in Spanish is a plus but not necessary.
