About the position

The Medical Meeting Event Manager is responsible for managing and coordinating healthcare professional (HCP) attended meetings within the pharmaceutical and life sciences sectors. This role serves as the client liaison and project leader, ensuring that all events meet business objectives while providing exceptional service to HCPs. The position requires collaboration with various internal and external stakeholders, overseeing logistics, compliance, and financial management of events.

Responsibilities

  • Serve as the client liaison and project leader for HCP attended meetings.
  • Manage overall coordination of HCP events from an operational perspective.
  • Interface with clients to ensure business objectives are met and provide high-touch service for HCPs.
  • Identify and recommend potential vendors and venues for meeting-related services.
  • Manage the selection of vendors and supervise all suppliers at meetings.
  • Responsible for client budget management and monitoring project expenses.
  • Process expense reimbursements and payments for HCP attendees.
  • Ensure compliance with organizing, consents, and attendance tracking procedures for meetings.
  • Manage overall project timeline and deliverables, including client expectations.
  • Negotiate contracts for audio-visual, hotel, and third-party services.
  • Create and execute communication plans for planning teams for all managed meetings.
  • Lead the development and implementation of planning timelines and meeting management requirements.
  • Oversee on-site management of all vendors for logistics and production during events.

Requirements

  • Bachelor's degree or equivalent experience required.
  • 3+ years of experience in pharmaceutical meeting/event planning.
  • Strong knowledge of program/event design, management, and budget maintenance.
  • Prior experience in providing exceptional experiences to event guests and maintaining client relationships.
  • Professional oral presentation and writing skills required.
  • Excellent computer skills, including knowledge of Microsoft Office tools and event technology.
  • Ability to travel up to 30% of the time required.
  • Working knowledge of FDA regulations and PhRMA guidelines strongly desired.

Nice-to-haves

  • PMP (Professional Meeting Planner), CMP (Certified Meeting Planner), CIS, CITP, HMCC, DES certification desired.
