About the position

We are seeking a dedicated Medical Office Administrator to join our Otolaryngology/QME office in Los Angeles. This part-time position requires the candidate to work two days a week, with office hours from 10 AM to 2 PM on Monday, Tuesday, Thursday, and Friday. The ideal candidate will be responsible for a variety of administrative tasks that are essential for the smooth operation of our medical office. The role involves processing billing and payments, assisting with medical record filing and data entry, and following up with insurance and payers. Additionally, the Medical Office Administrator will greet patients, answer their questions, and assist them in completing necessary forms. The position also includes answering phone calls, creating appointments, and directing calls as needed. Maintaining an organized filing system for patient documents and reports is crucial, as is responding to emails and electronic messages. The administrator will be responsible for creating invoices and bills, processing insurance forms, and managing relationships with vendors and contractors. Transcribing notes and documents related to patient treatments, coordinating with other departments, and assisting with special projects are also part of the job. This role is vital in ensuring that our office runs efficiently and that our patients receive the best possible care.

Responsibilities

  • Process billing, payments, and other financial transactions
  • Assist with medical record filing and data entry
  • Follow up with insurance and payers
  • Greet patients visiting the facility and assist them with required forms

Requirements

  • Must speak Spanish
  • Experience in processing billing and payments
  • Ability to assist with medical record filing and data entry
  • Experience in insurance and payer follow-ups
  • Strong communication skills for greeting patients and answering questions
  • Proficient in answering phone calls and creating appointments
  • Ability to maintain an organized filing system for patient documents
  • Experience in creating invoices and processing insurance forms
  • Ability to transcribe notes and documents accurately
  • Experience in coordinating with other departments

Nice-to-haves

  • Skill in using a PC with associated programs including Word, Excel, and Email
  • Experience with a database computer program
