Hanger, Inc. is seeking a dedicated Medical Office Administrator to join our team in Memphis, TN. The Medical Office Administrator will play a crucial role in ensuring the smooth operation of our front office activities, providing the highest level of customer service to patients, fellow employees, and referral sources. This position requires a strong commitment to maintaining compliance with relevant laws and regulations while managing patient information and insurance details accurately. In this role, you will be responsible for obtaining and verifying patient and insurance information, ensuring that all necessary pre-authorizations are completed, and maintaining accurate patient files in accordance with Hanger's Compliance Policies. You will also assist in counseling patients regarding their financial responsibilities and collect co-payments as necessary. The Medical Office Administrator will efficiently manage multiple phone lines, coordinate scheduling for practitioners, and process referrals and authorizations to ensure timely patient care. Your ability to communicate effectively and maintain excellent relationships with patients and referral sources will be essential to your success in this position. Responsibilities

  • Provide the highest level of customer service to patients, fellow employees, and referral sources.
  • Obtain accurate insurance information, including eligibility and benefits, verification, and pre-authorization.
  • Counsel patients regarding their financial responsibility once benefits have been verified.
  • Collect co-payments and over-the-counter cash when applicable.
  • Complete cash receipts per guidelines.
  • Maintain accurate and complete patient files, ensuring compliance with Hanger Compliance Policies.
  • Ensure the privacy and security of protected health information per HIPAA rules.
  • Assist with patient follow-up as directed.
  • Assist with quality assurance to ensure patient satisfaction with Patient Care Center (PCC) services as necessary.
  • Comply with the system of internal controls for handling cash receipts, including billing system data entry and bank deposits.
  • Enter patient demographics and insurance verifications as appropriate.
  • Efficiently manage multiple phone lines.
  • Record written documentation that is clear, concise, and accurate.
  • File all patient charts and other documentation, following established guidelines.
  • Coordinate scheduling of practitioner schedules to ensure proper coverage of patient appointments and out-of-office calls.
  • Process and monitor referrals/authorizations/prescriptions to ensure complete and final information is received in a timely manner.
  • Perform other duties or special projects as assigned.

Requirements

  • High school diploma or equivalent combination of education and experience required.
  • Minimum of one year customer service, administrative or related experience required.
  • Must score a minimum of 70 on Hanger's behavioral skills assessment.
  • Must have, or be eligible to obtain, a valid driver's license and driving record within the standards outlined within Hanger's Motor Vehicle Safety Policy and Procedures.
  • Experience as a receptionist or with medical front office responsibilities is preferred.
  • Strong interpersonal, oral (including telephone) and written communication skills.
  • Ability to key 30 words per minute with accuracy required.
  • Ability to work with handicapped individuals.
  • Understanding of Alpha filing system.
  • Understanding of medical reimbursement and terminology and an understanding of front office (receptionist) duties preferred.
  • Ability to use a computer, including Windows-based software and e-mail.
  • Ability to use all necessary office equipment, facsimile machines, calculator, postage machine, copier, etc.
