About the position

As a Medical Office Administrator at Hanger, Inc., you will play a crucial role in supporting the clinic's operations, particularly focusing on pediatric care. This position requires a strong emphasis on customer service and the ability to thrive in a fast-paced environment. You will be responsible for a variety of administrative tasks that are essential for the smooth functioning of the clinic. Your day-to-day responsibilities will include scheduling patient appointments, creating and maintaining patient charts, and ensuring that all patient records are accurate and up-to-date. You will also manage incoming phone calls, obtain insurance authorizations, and provide financial counseling to patients regarding their payments. In addition to these tasks, you will be involved in processing payments, conducting billing research, and responding to inquiries from patients and other stakeholders. Your role will require you to utilize an electronic health/medical record system for daily document research, ensuring that all patient information is handled with confidentiality and in compliance with HIPAA regulations. The ideal candidate will have a background in administration, strong computer skills, and a commitment to providing excellent customer service to patients and their families. This position is not only about managing administrative tasks but also about building trusting relationships with patients and referral sources. You will be expected to demonstrate cultural sensitivity and the ability to communicate effectively with a diverse population. Your organizational skills and attention to detail will be critical as you juggle multiple tasks in a dynamic clinic environment. Responsibilities

  • Responsible for patient appointment scheduling
  • Creation of new patient charts and maintenance of patient records
  • Scanning and filing patient documents and ensuring complete and accurate information
  • Managing incoming phone calls
  • Obtaining insurance authorization
  • Providing financial counseling for patients and posting over the counter (OTC) payments
  • Daily document research on an electronic health/medical record system

Requirements

  • High school diploma or GED required
  • Less than 1 year of customer service, administration or related experience
  • Must have, or be eligible to obtain, a valid driver's license and driving record within the standards outlined within Hanger's Motor Vehicle Safety Policy and Procedures

Nice-to-haves

  • At least 1-2 years of experience with EMR/electronic health/medical record systems (preferably NextGen and/or OnBase)
  • Working knowledge of HIPAA and other medical insurance regulations and terminology for private payer, state and federal plans including coding, billing and reimbursement protocols
  • Associate's degree
  • Ability to type 40 correct words per minute
  • At least 2 years of computer and office equipment experience including MS Office products (Word, Excel), e-mail and automated billing systems, facsimile machines, calculator, postage machine, copiers, etc.
  • Basic administrative math accounting skills
