About the position

As a Medical Office Administrator at Hanger, Inc., you will play a crucial role in providing administrative support to patients, fellow employees, and referral sources. This position involves coordinating and managing front office activities to ensure smooth operations within the clinic. You will be responsible for scheduling patient appointments, creating and maintaining patient records, and ensuring that all patient documents are accurately scanned and filed. Your role will also include managing incoming phone calls, obtaining insurance authorizations, and providing financial counseling to patients. You will be expected to process payments, conduct billing research, and respond to telephone inquiries, all while maintaining a high level of customer service and professionalism. In this fast-paced environment, you will need to demonstrate excellent organizational skills and the ability to multitask effectively. You will be working closely with a diverse population, requiring strong interpersonal and communication skills. Your ability to build trusting relationships with patients and referral sources will be essential. Additionally, you will need to be resourceful and flexible, adapting to the needs of the clinic and its patients. The ideal candidate will have a background in administration, with strong computer proficiency and a commitment to providing superior patient care. This position requires a high school diploma or GED, with less than one year of relevant experience. However, candidates with 1-2 years of experience in electronic medical record systems and knowledge of HIPAA regulations will be preferred. You will also need to possess basic administrative math skills and be comfortable using various office equipment and software, including MS Office products. Physical demands of the job include the ability to sit, walk, stand, and lift up to 25 pounds, as well as the ability to communicate effectively both in person and over the phone.

Responsibilities

  • Responsible for patient appointment scheduling
  • Creation of new patient charts and maintenance of patient records
  • Scanning and filing patient documents and ensuring complete and accurate information
  • Managing incoming phone calls
  • Obtaining insurance authorization
  • Providing financial counseling for patients and posting over the counter (OTC) payments
  • Daily document research on an electronic health/medical record system

Requirements

  • High school diploma or GED required
  • Less than 1 year of customer service, administration or related experience
  • Must have, or be eligible to obtain, a valid driver's license and driving record within the standards outlined within Hanger's Motor Vehicle Safety Policy and Procedures
  • At least 1-2 years of experience with EMR/electronic health/medical record systems (preferably NextGen and/or OnBase)
  • Working knowledge of HIPAA and other medical insurance regulations and terminology for private payer, state and federal plans including coding, billing and reimbursement protocols
  • Ability to type 40 correct words per minute
  • At least 2 years of computer and office equipment experience including MS Office products (Word, Excel), e-mail and automated billing systems, facsimile machines, calculator, postage machine, copiers, etc.
  • Basic administrative math accounting skills
