About the position

The Front Office Supervisor at our busy Family Medical Practice in Amherst/Northampton plays a crucial role in ensuring the smooth operation of the medical office. This full-time position involves overseeing daily activities and work assignments of the front office staff, providing exceptional patient care, and administrative support. The supervisor will handle patient concerns, maintain confidentiality, and ensure accurate scheduling while exhibiting values of integrity and compassion in patient communication.

Responsibilities

  • Oversee daily activities and work assignments of front office staff.
  • Assist the front desk as needed and respond to patient emergencies appropriately.
  • Handle patient concerns and complaints with maturity and discretion.
  • Maintain confidentiality of personal and financial information in compliance with HIPAA regulations.
  • Ensure provider schedules are accurate and appointments are scheduled properly.
  • Monitor provider schedules for vacation, sick days, and call outs, and oversee rescheduling of appointments.
  • Order and monitor supplies for both Amherst and Northampton offices.
  • Manage Office In-box and Front TE's, ensuring timely responses.
  • Create Monthly Work Schedule for PCC Staff at both offices.
  • Adjust employee hours based on patient/provider schedules for practice benefit.
  • Conduct individual meetings with staff to address issues, including disciplinary measures.
  • Document warnings given to staff and submit to HR manager.
  • Facilitate Monthly Front Desk Staff meetings and hold weekly huddles with staff.
  • Attend weekly supervisor meetings and provide input for strategy.
  • Oversee interviewing candidates for PCC positions when needed.
  • Train new staff and provide ongoing training for current staff.
  • Coordinate yearly employee performance reviews with Office Manager/HR Manager.
  • Notify Office Manager of any operational problems.

Requirements

  • Minimum 3 years of Medical Office/Medical Receptionist experience.
  • Advanced degree and management experience preferred.
  • Exceptional customer service skills.
  • Proficient with Microsoft Word, Excel, PowerPoint, and Outlook.
  • Ability to follow and prioritize multiple directions to completion.
  • Ability to work in a busy, hectic, and sometimes stressful environment.
  • Team player with leadership qualities.
  • Ability to prioritize, plan, and manage daily front office operations.
  • Clear understanding of HIPAA Privacy and Security rules and regulations.

Nice-to-haves

  • Experience in a supervisory role for at least 2 years.
  • Experience in customer service for at least 2 years.
