About the position

The Medical Office Manager/Biller at Forest Hills Gastroenterology is responsible for overseeing the daily operations of the clinic, ensuring that all administrative and billing functions are performed efficiently and effectively. This role involves managing the front desk operations, developing staff schedules, and implementing productivity standards to enhance the overall patient experience. The Office Manager will also be tasked with resolving operational issues and ensuring compliance with all policies and procedures. Exceptional customer service is a priority, and the manager will coach the team to maintain high standards in patient interactions and documentation accuracy. In addition to managing the clinic's operations, the Office Manager will monitor patient satisfaction and develop best practices to ensure efficient operations. This includes analyzing reception activities, such as call responsiveness and attendance rates, to identify trends and recommend strategic changes. The role also requires optimizing patient scheduling to meet the clinic's growth goals while ensuring a smooth patient flow. Inventory management of medical and office supplies is another key responsibility, along with performing various administrative duties as assigned by the provider. As a Medical Biller, the individual will prepare and submit billing and medical claims to insurance companies, answer inquiries from patients and insurers, and update demographic and financial information in the billing system. The Biller will prepare patient statements, document amounts due, collect payments, assist patients in establishing payment plans, and investigate denied claims. Interaction with third-party payers for eligibility verification and monitoring delinquent accounts are also part of the billing responsibilities. This position requires a blend of managerial skills and medical billing expertise to ensure the clinic operates smoothly and efficiently.

Responsibilities

  • Manage day-to-day clinic needs by developing schedules and leading the front desk.
  • Implement productivity standards and resolve operational/facility problems.
  • Ensure exceptional customer service in all patient interactions and adherence to policies and procedures.
  • Coach team members to ensure quality customer service and accurate documentation completion.
  • Manage patient satisfaction and develop best practices for efficient operations.
  • Monitor efficiency of reception activities, including responsiveness to calls and attendance rates.
  • Utilize analytical reports to identify trends and recommend strategic changes.
  • Optimize patient scheduling to meet growth goals while ensuring smooth patient flow.
  • Review and monitor inventory of medical and office supplies.
  • Perform various administrative duties as assigned by the provider.
  • Prepare and submit billing and medical claims to insurance companies.
  • Answer questions from patients and insurance companies regarding billing.
  • Update demographic and financial information in the billing system as needed.
  • Prepare patient statements and document amounts due for medical procedures and services.
  • Collect credit card payments via phone and assist patients in establishing payment plans.
  • Investigate and appeal denied claims as needed.
  • Interact with third-party payers for eligibility verification and follow up on delinquent accounts.

Requirements

  • 1+ years of work experience in a medical office as a Supervisor or Manager preferred.
  • 1+ year minimum medical billing experience needed.
  • Proficiency in using MD Land system and understanding of EMA, EMR programs or experience with other medical practice management systems.
  • Knowledge of commercial and government insurance plans.
  • Insurance verification skills.
  • Excellent communication and interpersonal skills.
  • Ability to work collaboratively as part of a team and help train new staff members when needed.

Nice-to-haves

  • Knowledge of Gastroenterology or Dermatology specialties is a plus, but not required.
