About the position

We are hiring an Office Manager who is also a Medical Assistant at the Comprehensive Spine Care Center in Woodland, CA. This position presents a wonderful opportunity for individuals with prior management experience in a medical practice or those who have a strong desire to grow into a management role. Preference will be given to candidates who have previously worked as medical assistants, LVNs, or RNs. The ideal candidate must be able to problem-solve independently and possess strong technical capabilities, including proficiency in Microsoft Word, Excel, Adobe, and G-Suite. Adaptability and the ability to multitask effectively are essential, as well as strong people skills and time management abilities. A strong desire to teach and mentor others is also a key requirement. In this role, the Office Manager will oversee the administrative functions of the medical office, which includes preparing charts for upcoming clinic and surgical days, gathering data such as MRI, CT, and ultrasound reports, and ensuring that all provider reports are complete prior to clinic days for review. The Office Manager will also be responsible for maintaining office supplies, keeping inventory, and ensuring that the physician's credentials are up to date. Record-keeping of medical licensing, ACLS/BLS certifications, and continuing medical education (CME) for the physician will also be part of the responsibilities. Additionally, the Office Manager will handle surgery scheduling and obtaining procedure authorizations. The position is part-time, requiring 20-24 hours of work per week, typically spread over 2-3 days.

Responsibilities

  • Prepare charts for the following week's clinic and surgical days.
  • Gather data including MRI, CT, and ultrasound reports, ensuring provider reports are complete prior to clinic days.
  • Maintain office supplies by ordering and keeping inventory.
  • Ensure up-to-date credentials for the physician are maintained.
  • Record keeping of medical licensing, ACLS/BLS, and CME for the physician.
  • Schedule surgeries and obtain procedure authorizations.

Requirements

  • Minimum of 2-3 years' experience in a medical or healthcare setting, preferably in an outpatient/ambulatory care setting.
  • Independent, self-motivated, and driven with the ability to multi-task.
  • Strong technical capabilities, including intermediate to advanced PC skills (MS Office, Windows).
  • Good command of the English language, including medical and scientific terminology.
  • Ability to function in a fast-paced environment and manage competing demands effectively.

Nice-to-haves

  • Experience in an Interventional/Pain Management clinic.
  • Surgery scheduling experience (1 year preferred).
  • Knowledge of State and Federal regulatory requirements, including HIPAA compliance.
  • Spanish language skills.
