About the position

The Medical Office Manager will oversee the daily operations of a multi-specialty orthopedic and spine practice, ensuring compliance with healthcare regulations and providing exceptional support to the healthcare team. This role requires strong healthcare management skills, organizational abilities, and proficiency in medical management software. The ideal candidate will manage staff, implement budgeting strategies, and enhance patient care processes while maintaining accurate patient records and ensuring confidentiality.

Responsibilities

  • Oversee daily operations of the medical office, ensuring compliance with healthcare regulations and standards.
  • Manage staff schedules, supervise team members, and facilitate training programs to enhance performance.
  • Implement effective budgeting strategies and fiscal management practices to optimize office resources.
  • Maintain accurate patient records and ensure confidentiality in accordance with HIPAA regulations.
  • Coordinate with healthcare providers to streamline patient care processes and improve service delivery.
  • Monitor office inventory, ordering supplies as needed to maintain operational efficiency.
  • Develop policies and procedures that enhance office workflow and patient satisfaction.
  • Collaborate with external vendors and insurance companies to facilitate billing processes.
  • Address patient inquiries and concerns promptly, ensuring a positive experience within the office.
  • Check in/out patients and assist with phone calls and scheduling utilizing online sites such as ZocDoc.
  • Obtain proper insurance information, insurance cards, and identification, verifying insurance coverage, eligibility, and benefits for each patient.

Requirements

  • Proven experience in healthcare management or a similar role within a hospital or medical setting.
  • Familiarity with medical management software such as eClinicalWorks (ECW).
  • Strong knowledge of fiscal management principles, budgeting, and financial reporting in a healthcare context.
  • Excellent supervisory skills with the ability to lead a diverse team effectively.
  • Exceptional organizational skills with attention to detail and the ability to multitask in a fast-paced environment.
  • Strong communication skills, both verbal and written, to interact effectively with staff, patients, and external stakeholders.

Nice-to-haves

  • Experience working as a medical assistant.
  • Experience in an Orthopedic or Sports Medicine office setting.
