About the position

We are seeking an experienced and results-driven Office Manager to oversee the daily operations of our multi-specialty medical practice in Plastic Surgery, Internal Medicine, and Pediatrics. The ideal candidate will excel in medical coding, billing, and appeals, manage administrative functions, lead office staff, and ensure exceptional support for both healthcare providers and patients.

Responsibilities

  • Oversee daily office operations, including patient scheduling, front-office workflows, and insurance authorizations.
  • Manage billing and claims processes, ensuring timely claim submissions, payment posting, and denial resolutions.
  • Speak with patients about billing questions.
  • Ensure compliance with HIPAA and other regulatory standards while securely managing and transmitting medical records.
  • Handle provider credentialing, including licensure, certifications, and insurance contract maintenance and negotiations.
  • Monitor and renew licenses, certifications, and credentials to avoid service disruptions.
  • Lead staff training on revenue cycle management, insurance guidelines, and patient services.
  • Implement process improvements to streamline workflows, reduce wait times, and enhance patient satisfaction.
  • Manage claim rejections and payment collections from Medicare and private payers.
  • Resolve complex billing and administrative issues while conducting regular audits of coding and billing practices.
  • Identify and implement strategies to enhance office productivity, operational performance, and overall functionality.
  • Lead project management initiatives, including the integration of new office systems or processes.

Requirements

  • Minimum 5 years of medical office management experience.
  • Active AHIMA or AAPC coding certification (e.g., CCA, CCS, CCS-P, RHIT, RHIA) is a plus.
  • Proven 5+ years of medical office management experience, with expertise in billing, insurance verification, and claims processing.
  • Strong knowledge of provider credentialing, payer regulations, and revenue cycle management.
  • Proficiency in EHR systems and a solid understanding of HIPAA compliance.
  • Leadership skills with the ability to mentor and support teams.

  • Bilingual in Spanish (preferred).
