About the position

The Medical Office Manager at The Bone Health Clinic is responsible for overseeing the daily administrative, operational, and compliance functions of the clinic. This role requires a strong background in medical office management, with a focus on revenue cycle management and compliance duties. The ideal candidate will support the clinic's mission of promoting bone health and preventing fractures, while ensuring efficient clinic operations and effective communication between staff and leadership.

Responsibilities

  • Manage and update clinic systems, including WPS, Availity, CAQH, and PCI.
  • Coordinate with vendors for extermination, cleaning, yard maintenance, and snow removal.
  • Oversee payroll processing and ensure accuracy.
  • Maintain compliance records, including malpractice insurance, CME documentation, and personnel files.
  • Assist with hiring and onboarding new staff, including nurse practitioners and radiology personnel.
  • Function as executive assistant as needed, managing schedules, appointments, and meetings for leadership.
  • Coordinate travel arrangements and itineraries.
  • Prepare correspondence, reports, and presentations.
  • Maintain organized records of professional memberships, certifications, and continuing education requirements.
  • Act as a liaison between leadership and staff, ensuring effective communication.
  • Handle special projects and administrative tasks as assigned.
  • Utilize AthenaHealth to assist with billing, claims management, and accounts receivable.
  • Address denied claims and resolve billing discrepancies.
  • Monitor revenue trends and provide actionable insights to improve collections.
  • Coordinate schedules, meetings, and professional commitments for clinic operations.
  • Ensure adherence to healthcare regulations and best practices.
  • Generate and review reports related to clinic operations, compliance, and financial performance.
  • Support clinic marketing efforts, including updates to the website and creation of materials using Canva and Google Workspace.

Requirements

  • At least 2 years in a medical office management or similar role.
  • Proficiency with AthenaHealth or other EHR systems.
  • Strong organizational, multitasking, and problem-solving skills.
  • Proficiency in Microsoft Office Suite and Google Workspace.

Nice-to-haves

  • Experience with revenue cycle management, including billing and collections.
  • Familiarity with healthcare compliance standards, including CAQH and PCI.
  • Skills in Canva or other graphic design tools for creating clinic marketing materials.
