The Medical Office Receptionist at Heart & Vascular Specialists Clinic is a full-time role focused on providing exceptional front desk support in a fast-paced, high-volume environment. The position involves managing patient check-ins, scheduling appointments, and ensuring compliance with clinic policies while delivering compassionate care to patients. The role requires strong organizational and communication skills to handle multiple tasks efficiently.

Responsibilities

  • Perform patient check-in and complete necessary paperwork for efficient admitting process.
  • Answer phone calls and direct them appropriately.
  • Schedule appointments according to office guidelines.
  • Obtain accurate patient and insurance information, collecting copays and deductible amounts.
  • Copy/scan patient access related hard copy materials into the electronic medical record.
  • Prepare charts for patient appointments ensuring all necessary information is complete.
  • Conduct patient check-out functions including pricing services and collecting payments.
  • Assist with record filing and retrieval in electronic medical records.
  • Confirm next day appointments and inform patients of required documentation.
  • Follow up with patients regarding the Missed Appointment Policy.

Requirements

  • High School Diploma or equivalent (required).
  • Six months Medical Receptionist experience in a Clinic (preferred).
  • Six months Business Office Customer Service experience (preferred).
  • Outgoing individual with a friendly attitude.
  • Strong attention to detail.
  • Ability to multi-task in a busy clinic environment.
  • Outstanding communication, interpersonal, customer service, and organizational skills.
  • Knowledge of insurance authorization/billing requirements.
  • Demonstrated strong customer service and communication skills.
  • Organizational and time management skills.
  • Proficient computer skills.
  • Knowledge of clinic procedures and regulatory requirements.
  • Strong work ethic and professionalism.
  • Team player who can handle multiple projects simultaneously.
