About the position

The Medical Office Receptionist at Heart & Vascular Specialists is a full-time role focused on providing exceptional front desk support in a fast-paced, high-volume clinic environment. The position involves managing patient check-ins, scheduling appointments, and ensuring compliance with clinic and regulatory policies. The ideal candidate will thrive in a collaborative team setting and demonstrate strong customer service skills while handling multiple tasks efficiently.

Responsibilities

  • Perform patient check-in at the time of visit and complete all necessary paperwork for efficient admitting processes.
  • Answer phone calls and direct them appropriately.
  • Schedule appointments according to office guidelines.
  • Obtain accurate patient and insurance information, collecting copays and deductible amounts.
  • Copy/scan patient access related hard copy materials into the electronic medical record.
  • Prepare charts for patient appointments ensuring all necessary information is complete.
  • Conduct all functions associated with patient check-out including pricing services and scheduling follow-up appointments.
  • Perform duties involving record filing and retrieval in electronic medical records.
  • Confirm next day appointments and alert patients regarding necessary documentation.
  • Follow up with patients regarding the Missed Appointment Policy and send out appropriate communications.
  • Perform other duties as assigned.

Requirements

  • High School Diploma or equivalent (required).
  • Six months Medical Receptionist experience in a Clinic (preferred).
  • Six months Business Office Customer Service experience (preferred).
  • Strong attention to detail.
  • Outstanding communication, interpersonal, customer service, and organizational skills.
  • Knowledge of insurance authorization/billing requirements.
  • Proficient computer skills.
  • Knowledge of clinic procedures and regulatory requirements.
  • Strong work ethic and a high level of professionalism.
  • Ability to multi-task in a busy environment.
