About the position

The Practice Coordinator is responsible for managing the daily front office activities at LifeStance Health, ensuring high-quality customer service for both in-person and remote patients and clinicians. This role involves operational excellence, patient support, and clinician support, contributing to a positive work environment and effective practice management.

Responsibilities

  • Create a positive work environment and support clinician and staff engagement activities.
  • Conduct schedule preparation for all patients, ensuring paperwork and documentation are complete.
  • Perform general office duties to maintain cleanliness and appeal, including sorting mail and scanning documents.
  • Communicate effectively with peers, clinicians, and patients to support patient care and satisfaction.
  • Provide exceptional customer service and manage potentially difficult situations using crisis and de-escalation processes.
  • Manage front desk responsibilities, including greeting and checking patients in/out.
  • Assist patients with requests via phone, email, and portal regarding billing, scheduling, and inquiries.
  • Manage phone system queues to ensure timely call responses.
  • Assist patients with telehealth access and Patient Portal issues.
  • Collect co-payments and account balances at the time of service.
  • Complete insurance eligibility verification and resolve issues with patients.
  • Provide general support to clinicians with administrative tasks and coordinate patient questions.
  • Audit clinician schedules for appointment accuracy.

Requirements

  • High School diploma or equivalent required; associates/bachelor's degree preferred.
  • 1+ years of experience in healthcare operations, customer service, or a similar role preferred.
  • Strong communication skills, both written and verbal.
  • Ability to multitask and prioritize duties effectively.
  • Proficient in using computer software applications, including Microsoft Office and EMRs.
  • Comfortable handling sensitive and confidential information (HIPAA).
