About the position

The Practice Manager will play a crucial role in overseeing the daily operations of a small private medical practice located in Greenwich, CT. This position requires a full-time commitment and is ideal for an experienced Practice Administrator who has a strong background in healthcare management. The Practice Manager will be responsible for managing a team of 10 physicians and 9 staff members, ensuring that the practice runs efficiently and effectively. The ideal candidate will possess excellent leadership skills, with a focus on communication, customer service, and team management. In this role, the Practice Manager will be tasked with maximizing office productivity across various departments, including front desk operations, clinical services, and billing. This includes overseeing employee performance metrics to ensure optimal practice efficiency and managing the daily staffing schedule to meet the needs of the practice. The Practice Manager will also direct all hiring, onboarding, and payroll functions, manage accounts payable, and assist with business planning and the improvement of administrative processes. Additionally, the Practice Manager will be responsible for implementing and periodically reevaluating organizational policies and procedures, monitoring and approving staff hours, developing budgets, and ensuring compliance with patient care practices and billing processes. Regular staff meetings and annual performance evaluations will be conducted to maintain a positive work environment. The Practice Manager will also serve as a liaison for referring physicians and various stakeholders, providing management reports to the practice president and partners, and managing vendor contracts and relationships.

Responsibilities

  • Demonstrate strong leadership skills, including communication, listening, customer/patient service skills, delegation, time management, and public relations skills.
  • Maximize office productivity of the front desk, clinical, and billing departments.
  • Oversee employee performance metrics to assure optimal practice efficiency.
  • Manage daily staffing schedule to fit the needs of the practice.
  • Direct all hiring, onboarding, and payroll functions.
  • Manage accounts payable.
  • Assist with business planning and the improvement of administrative processes.
  • Implement and periodically reevaluate organization policies and procedures.
  • Monitor and approve staff hours.
  • Develop budgets and monitor expenditure.
  • Monitor patient care practices and billing processes for compliance regulations and to ensure an optimal patient experience.
  • Conduct regular staff meetings and annual performance evaluations for the administrative staff.
  • Create and maintain a positive work environment for the staff.
  • Serve as liaison for referring physicians, legal, bank, accountant, insurance brokers, and insurance companies.
  • Provide various management reports to practice president and partners.
  • Manage vendor contracts and relationships.

Requirements

  • Strong leadership, communication, problem solving, and decision-making abilities.
  • BA or MBA in business or health care management OR a minimum of three years proven experience in healthcare management.
  • Strong background in accounting.
  • Proficiency with EMR systems and practice management software applications.
  • Excellent written and verbal communication skills.
  • Knowledge of medical terminology, regulations, and medical office procedures.
  • Ability to work in a fast-paced environment.
