About the position

The Medical Receptionist position at Wayne HVA Medical Group is a full-time role focused on providing exceptional administrative support within a cardiology practice. The successful candidate will be responsible for greeting patients in a friendly and welcoming manner, ensuring a positive first impression and a smooth check-in process. This role requires proficiency in managing patient registrations in the Electronic Medical Record (EMR) system, which includes retrieving and securing all necessary demographic, financial, and insurance information from patients. The receptionist will also be tasked with obtaining copies of patient identification and insurance cards, scanning these documents into the document imaging system, and notifying medical assistants when patients are ready for their appointments. Effective communication is a key component of this role, as the receptionist will interact with patients, visitors, co-workers, and physicians. The position demands a high level of professionalism and courtesy, particularly during telephone exchanges, where the receptionist will relay essential messages and coordinate with physicians' offices to gather and exchange patient information. Additionally, the Medical Receptionist will be responsible for scheduling patient appointments and managing incoming and outgoing faxes, ensuring that all communications are handled efficiently and accurately. This position is integral to the daily operations of the cardiology office, requiring a proactive approach to patient care and administrative tasks. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The role is expected to work 40 hours per week, primarily during day shifts from Monday to Friday, with occasional weekend availability as needed.

Responsibilities

  • Greets all patients in a friendly and welcoming manner.
  • Registers all patients in the EMR, including retrieval of demographic, financial, and insurance information.
  • Secures all necessary signatures on required forms.
  • Obtains copies of patient identification and insurance identification and scans them into the document imaging system.
  • Notifies the medical assistant that the patient is ready upon completion of registration.
  • Demonstrates effective communication skills with patients, visitors, co-workers, and physicians in accordance with Service Excellence standards.
  • Demonstrates appropriate and courteous telephone etiquette during telephone exchanges and relays essential phone messages.
  • Contacts physicians' offices to exchange and gather information regarding patients.
  • Schedules patients for appointments with the doctor and for testing as necessary.
  • Distributes incoming faxes and handles outgoing faxes.
  • Performs all other duties as assigned.

Requirements

  • Bilingual in Spanish and English fluently.
  • 3 years of medical receptionist experience required.
  • High school diploma or GED required.
  • Experience in medical administrative support.
  • Strong phone etiquette and communication skills.
