About the position

The Medical Receptionist for the Counseling Ministry at St. Petersburg First United Methodist Church plays a crucial role in providing administrative support to licensed clinical professionals. This position is designed for a compassionate and organized individual who will serve as the welcoming front desk presence, facilitating daily business needs and ensuring a positive experience for clients and visitors in the Counseling Center.

Responsibilities

  • Protect the confidentiality of all individuals that call into and enter the Counseling Center by following all requirements of the Health Information Portability and Accountability Act (HIPAA).
  • Assist with the inquiries of all individuals presenting themselves at the secure entry way of the Counseling Center.
  • Provide a warm, confidential greeting to the clients and other visitors of the Counseling Center.
  • Assist with the intake procedures as requested by each of the clinical professionals.
  • Conduct verification inquiries with insurance providers regarding current coverage, deductibles, and appropriate copay. Advise the counselors of the findings to assist in the determination of the appropriate payments for each session.
  • Provide fee collections for clinical staff members if instructed. Majority of fees collected by therapists.
  • Answer phone lines while the counselors are in session.
  • Answer inquiries to the best of your ability and take messages for further inquiry. Schedule and reschedule appointments as directed by the clinical staff members.
  • Provide appointment confirmation services for the following business day as directed.
  • Submit and retrieve confidential facsimile communications on behalf of the clinical staff.

Requirements

  • Warm, welcoming individual who can communicate confidently and firmly with individuals that may be distressed or distraught (i.e. crisis management skills).
  • Strong communication skills (both oral & written).
  • Dedicated individual who is able to take direction and work well with others.
  • Superior organizational skills with knowledge of Microsoft Office (Outlook & Word) experience required.
  • Excel experience preferred.
  • Skill set to develop a working knowledge of mental health resources within the community.
  • Ability to work 20 - 25 hours per week as a part-time position with a flexible schedule.
  • Ability to cover for Administrative Assistant's absence up to 20 hours per week.
