About the position

Preventive Measures, LLC is an outpatient psychiatric facility dedicated to providing essential mental health treatment to local communities across the USA. We are currently seeking a Medical Receptionist who is fluent in both English and Spanish to join our team in Allentown, PA. This full-time position offers a competitive hourly wage of $17 - $18 and plays a vital role in the operations of our facility. The Medical Receptionist will report directly to the Medical Administrator and the Program Director, ensuring smooth communication and coordination between various departments. In this role, you will be responsible for a variety of tasks that are crucial to the functioning of our medical department. You will be expected to maintain a high level of professionalism while multitasking and managing interactions with patients, doctors, and staff. The ideal candidate will be detail-oriented, highly organized, and results-driven, with the ability to work independently as well as part of a team. A commitment to excellence and high standards is essential, as is the ability to effectively communicate with a diverse range of individuals at all organizational levels. Your primary responsibilities will include collecting, filing, and maintaining medical records, triaging patients for appointments, greeting and attending to patients both in person and over the phone, and assisting doctors and staff as needed. You will also be responsible for maintaining business inventory, answering phone calls professionally, scheduling appointments, and ensuring compliance with HIPAA regulations. Additionally, you will communicate medical results to patients under clinical supervision and complete accurate documentation of patient visits. This position may also require you to fill in for the Medical Assistant as needed and perform translations for medical providers and front desk calls.

Responsibilities

  • Collect, file, and maintain Medical Records weekly
  • Triage Patients for medical appointments
  • Greet and attend to patients in person and over the phone
  • Professionally assist doctors, staff, visitors, and patients
  • Maintain business inventory such as checking supplies and informing management of any necessary equipment repairs
  • Answer all phone calls in a professional and courteous manner
  • Perform all duties within HIPAA regulations
  • Maintain confidentiality of all doctor, staff, and patient information
  • Schedule appointments between doctors and patients
  • Liaise between the administrative, clinical, and medical departments with discretion and professionalism
  • Adhere to policy and procedures during all activities
  • Communicate medical results to patients under clinical supervision
  • Complete accurate documentation of patient visits
  • Continue performing front desk duties
  • Filling in for the Medical Assistant as needed
  • Complete metabolics, coordination of care with PCP's, order and retain lab results for the clients
  • Managing and checking for Prior Authorizations, as well as completing the Pennsylvania Prescription screening
  • Prepare charts for medical shifts, gather discharge paperwork, communication from other providers including PCP's, neurologists, DNA, treatment centers, etc.
  • Complete administrative quality check for medical staff documentation (time in, time out, signed, each section complete)
  • Complete charge slips for all medical shifts
  • Completing all other duties assigned within reason, based on the needs of the company
  • Complete translations for medical providers as well as for the front desk calls

Requirements

  • High School diploma or GED, required
  • Medical Assistant or Medical certification preferred but not required
  • Experience in related field, preferred
  • Strong problem solving, critical thinking, coaching, interpersonal, and verbal and written communication skills
  • Proficiency with computers, especially MS Office
  • Mandatory Requirements: 2-Step PPD, PA State Background Check, ChildLine Abuse Clearance, FBI Background Check, Mandated reporter certificate

Nice-to-haves

  • Bilingual in English and Spanish
