The Medical Receptionist is responsible for a variety of tasks that include managing communication, handling billing and collections, scheduling appointments, and maintaining patient records. The role requires a strong commitment to patient care and adherence to HIPAA guidelines, ensuring that all interactions are conducted with professionalism and courtesy. In this position, the Medical Receptionist will greet patients and visitors promptly, assisting them with the sign-in process and ensuring that they feel valued and important. The role involves verifying patient information, collecting copayments, and ensuring that all necessary paperwork is completed accurately. The Medical Receptionist will also manage the patient check-out process, which includes reviewing charge slips, posting charges, and scheduling future appointments. This position requires a proactive approach to patient satisfaction, with the Medical Receptionist expected to communicate any potential issues to the direct manager. Additionally, the Medical Receptionist will be responsible for maintaining an organized filing and record maintenance system, assembling new patient folders, and retrieving records as needed. The role may require flexibility in scheduling, including working additional hours to ensure adequate coverage for the practice. The Medical Receptionist will also serve as a pre-loader for the EMR system and may be assigned other duties or projects as needed. Overall, this position is vital for the smooth operation of the practice and the delivery of high-quality patient care.

Responsibilities

  • Receives and directs all communication courteously and consistently.
  • Adheres to HIPAA guidelines and office policy.
  • Answers phone calls quickly and directs them appropriately.
  • Greets patients and visitors in a prompt, courteous, and helpful manner.
  • Assists patients with the sign-in process.
  • Responds promptly to patients' needs.
  • Supports financial responsibilities, including staying abreast of reimbursement and billing procedures.
  • Accurately verifies information on Audit Journal, prepares bank deposits, and credit card batches.
  • Monitors general office supply inventory and equipment, notifying the Practice Manager when supplies are low.
  • Manages the patient check-in process, obtaining and verifying required demographic information.
  • Collects copayment and any applicable balances; verifies insurance eligibility.
  • Ensures appropriate referrals are obtained and that patients complete necessary paperwork.
  • Accurately enters patient demographic information in the billing/computer system.
  • Manages the patient check-out process, ensuring it is completed accurately and timely.
  • Promotes patient satisfaction through friendly and helpful interactions.
  • Communicates potential patient satisfaction issues to the direct manager.
  • Maintains an efficient and accurate filing and record maintenance system.
  • Assembles new patient folders and retrieves records according to protocol.
  • Adapts work schedule to meet the needs of the practice and works additional hours as requested.
  • Serves as a pre-loader for the EMR system and performs other duties as assigned.

Requirements

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
  • Ability to learn quickly and adapt to changing patient needs.

  • Must be able to travel to various locations.

Nice-to-haves
