About the position

The Medical Receptionist at Carroll Children's Center is a full-time position that plays a crucial role in ensuring the smooth operation of the medical office. This role requires a dedicated individual who can manage various administrative tasks while providing excellent customer service to patients and their families. The Medical Receptionist will be responsible for answering telephone calls, managing online messaging systems, and greeting patients, families, and visitors in a prompt and professional manner. The position demands a strong attention to detail and the ability to multi-task effectively in a fast-paced environment. In this role, the Medical Receptionist will process patients checking in for appointments, ensuring that all necessary demographic information, insurance details, and billing information are collected and entered into the computer system in a timely manner. The receptionist will also prepare new patient charts electronically, collect co-payments, and handle appointment scheduling. It is essential for the Medical Receptionist to document all patient financial transactions accurately and balance daily financial receipts records, which will be cross-checked with deposits and billing reports. Additionally, the Medical Receptionist will verify insurance benefits through individual insurance websites and may be required to back up other clerical staff during their absences. The position requires a high school diploma or equivalent, with two to five years of medical office experience preferred. Strong computer skills and knowledge of medical terminology are essential for success in this role. The working hours for this position are Monday to Thursday from 7:30 am to 5:00 pm and Friday from 7:30 am to 4:00 pm, with a 10-hour shift schedule.

Responsibilities

  • Answer telephone calls and take all incoming messages, referring them to appropriate staff.
  • Manage the online messaging system.
  • Greet patients, families, and visitors promptly and professionally.
  • Process patients checking in for appointments and ensure they are checked in promptly upon arrival.
  • Obtain patient demographic information, copies of insurance cards, driver licenses, and billing information, entering it into the computer in a timely fashion.
  • Prepare new patient charts electronically.
  • Collect patient co-payments and charges.
  • Handle all appointment scheduling.
  • Document all patient financial transactions.
  • Balance daily financial receipts records, cross-checking with deposits and billing reports by date.
  • Collect patient responsibility and review patient information for accuracy at the completion of check-in.
  • Complete payment reconciliation at the end of each shift.
  • Verify insurance benefits via individual insurance websites.
  • Back up other clerical staff during absences or vacations.
  • Perform other tasks as assigned by the Office Manager and Physician.

Requirements

  • High School Diploma or equivalent required.
  • Two to five years of medical office experience desired.
  • Excellent computer experience and knowledge of medical terms required.
  • Strong attention to detail with the ability to multi-task and work within a fast-paced environment.
  • Ability to deal with confidential information appropriately.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to work independently on projects and as a member of a team.
  • Ability to multi-task and organize and prioritize workload.
  • Work well under general supervision.

Nice-to-haves

  • Bi-lingual in Spanish and English preferred.
  • Customer service experience of 1 year (preferred).
  • Computer skills of 1 year (preferred).
  • Medical experience of 1 year (preferred).
