About the position

The Medical Receptionist/Medical Assistant position at Tahoe Forest Health System involves assisting physicians and mid-level practitioners in the examination and treatment of patients, while also managing clerical and receptionist duties within the outpatient clinics. This role is crucial in ensuring that both family and specialty care services are delivered efficiently and effectively. The Medical Assistant will be responsible for interviewing patients, obtaining vital signs, and documenting this information accurately in patient records. They will prepare treatment rooms for examinations and special procedures, ensuring that all necessary instruments and equipment are properly positioned and sterile techniques are followed. In addition to clinical responsibilities, the Medical Assistant will also handle various administrative tasks. This includes entering data into electronic medical record systems, obtaining prior authorizations for medications, and maintaining the organization and cleanliness of patient exam rooms. The role requires effective communication skills, as the Medical Assistant will interact with patients, answer phone calls, schedule appointments, and manage patient flow within the clinic. They will also be responsible for collecting payments and maintaining accurate financial records. The ideal candidate will have at least one year of experience as a medical assistant and in a customer service role, with a strong knowledge of medical terminology and familiarity with medical documents. Bilingual skills in Spanish are preferred, and the candidate must be willing to undergo on-the-job training for any additional duties. This position is essential for the smooth operation of the clinic and requires a commitment to providing high-quality patient care.

Responsibilities

  • Assist the physician or mid-level practitioner in the examination and treatment of patients.
  • Interview patients, obtain vital signs, and document this information in the patient record.
  • Prepare treatment rooms for examination of patients and special procedures.
  • Drape patients as needed and position instruments and equipment.
  • Follow the policy for cleaning and/or processing instruments for sterilization and demonstrate proper sterile technique.
  • Safely operate and maintain medical equipment as directed by the supervising physician/designee and policy.
  • Obtain test results and record as requested by the medical provider.
  • Administer intramuscular, subcutaneous, and intradermal injections, verifying correct medication and dosage with licensed clinical staff and obtaining needed consent.
  • Perform routine Clinical Laboratory Improvement Amendments (CLIA) waived laboratory testing as directed by the supervising physician/designee.
  • Perform ear lavage for ear wax removal.
  • Reinforce patient education materials/instructions under specific written authorization of the medical provider.
  • Complete all tasks daily as assigned.
  • Enter data into the computer as needed to maintain office and patient records; accurately access and maintain information on various Electronic Medical Record (EMR) systems.
  • Obtain prior authorization for medications.
  • Maintain par levels of medical supplies and medications; keep rooms well-stocked and organized per practitioner preferences.
  • Report deficiencies to Clinic Supervisor or Lead for ordering.
  • Ensure all outdated supplies, materials, and medications are discarded and replaced per policy.
  • Maintain cleanliness of patient exam rooms.
  • Receive visitors, determine nature of business, and direct as appropriate in a courteous and professional manner.
  • Retrieve messages and perform follow-up on them; utilize medical assisting skills.
  • Answer telephones and give information to callers or route as appropriate.
  • Maintain and schedule appointments; ensure accurate schedules are maintained using advance knowledge of clinical needs.
  • Inform staff of significant schedule changes and inform physician of commitments, surgeries, and meetings.
  • Document and follow up as appropriate on no-show appointments.
  • Register patients; inquire with all returning patients as to changes in address, phone, and insurance information.
  • Print and update schedules for all practitioners; pull daily charts and attach super bills and any required paperwork.
  • Prepare daily charge batch; collect payments and office co-pays, deductibles, and self-pay balances at the time of service.
  • Maintain an accurate cash box.
  • Complete various forms and authorizations for patients using medical assisting skills.
  • Schedule diagnostic tests and/or surgeries per specific physician practice.
  • Handle flow of patient reports, ensuring appropriate practitioner review and signatures.
  • File/scan reports in the medical record, and file and retrieve charts into and from the filing system.
  • Maintain par levels of all forms and office supplies and report any deficiencies to Practice Lead.
  • Work closely with clinic leads and preceptors on clinic processes/procedures including training of staff as needed.
  • Demonstrate System Values in performance and behavior.
  • Comply with System policies and procedures.

Requirements

  • At least one year of experience as a medical assistant.
  • At least one year of experience in a customer/patient service position.
  • Knowledge of medical terminology required, as well as familiarity with medical documents and medical chart components.
  • Current Nevada Laboratory Assistant license (for employees working in Nevada) obtained within ninety (90) days of employment within job classification.
  • Enrollment in the Resuscitation Quality Improvement (RQI) Basic Life Support (BLS) Entry or Prep Curriculum, which must be completed within three (3) months of hire.
  • All certifications must be kept valid and current.
