About the position

The Medical Receptionist at Mount Juliet Heritage Medical Associates is responsible for managing the front desk operations, ensuring a smooth patient flow from arrival to departure. This role involves performing clerical duties, interacting with patients and clinic personnel, and maintaining good public relations. The Medical Receptionist handles incoming calls, schedules appointments, and manages patient information while adhering to established protocols.

Responsibilities

  • Arrive 10 minutes prior to office opening to prepare for morning appointments.
  • Greet patients upon arrival and verify completeness of new/update patient information sheets.
  • Enter new patient information into the system or update existing patient records.
  • Check for accuracy of insurance status, eligibility, and account information.
  • Receive co-payments and follow department policies for cash management and reporting.
  • Answer incoming telephone calls and handle patient concerns or route them to appropriate personnel.
  • Schedule appointments for patients, assessing needs for emergency appointments.
  • Check e-mails periodically and respond to requests.
  • Check-out patients and collect any outstanding accounts due.
  • Contact billing department or other facilities on patients' behalf regarding billing questions or concerns.
  • Complete opening and closing of the area according to checklist, focusing on cash handling techniques.
  • Maintain and monitor doctors' schedules and schedule meetings with pharmaceutical representatives.
  • Monitor the reception area and assist patients as needed.
  • Maintain a clean and orderly work area and reception area free of clutter.
  • Order front office supplies and secure the building by locking all entrances.
  • Attend required meetings and assist/train new employees.
  • Open mail and route documents from the fax machine appropriately.
  • Obtain pre-certifications, PAs, and referrals when mandated by insurance companies.
  • Return patient calls in a timely manner and contact pharmacies for prescription refills as instructed by physicians.
  • Track diagnostic studies to ensure results are received and patients are informed.
  • Assemble encounter forms for the next business day and organize paperwork for physician review.

Requirements

  • High school diploma or GED.
  • 2 years of experience in an office environment, preferably in the medical field.
  • Strong customer service skills and excellent phone etiquette.
  • Good typing and computer skills, including experience with EMR systems.
  • Ability to communicate effectively both written and verbally.

Nice-to-haves

  • Experience with Electronic Patient Scheduling and Electronic Health Record systems.
  • 3-5 years of experience in a medical office environment.
