About the position

The Medical Receptionist at Hackensack Meridian Health plays a crucial role in providing reception and clerical services under the supervision of the practice manager and physician(s) for patients and visitors of the pediatric neurology practice. This position is essential in ensuring that the practice runs smoothly and efficiently, contributing to the overall mission of helping patients live better, healthier lives. The Medical Receptionist is responsible for a variety of tasks that include managing patient interactions, handling billing and collections, coordinating referrals, and maintaining office supplies and records. In this role, the Medical Receptionist is expected to greet patients and visitors warmly, ensuring they feel welcomed and valued. They will assist patients with the sign-in process, respond promptly to their needs, and manage the check-in and check-out processes efficiently. This includes verifying insurance information, collecting copayments, and scheduling future appointments. The Medical Receptionist must adhere to HIPAA guidelines and office policies while providing excellent customer service to promote patient satisfaction. Additionally, the Medical Receptionist will be responsible for maintaining an organized filing and record-keeping system, assembling new patient folders, and ensuring that all necessary paperwork is completed accurately. The role requires adaptability to meet the needs of the practice, including working additional hours as needed and traveling to various locations within a 30-minute radius of their home. The Medical Receptionist will also serve as a pre-loader for the electronic medical records (EMR) system and may take on other duties or projects as assigned. Overall, this position is vital in supporting the healthcare team and enhancing the patient experience.

Responsibilities

  • Receives and directs all communication courteously and consistently, adhering to HIPAA guidelines and office policy.
  • Greets patients and visitors in a prompt, courteous, and helpful manner, making them feel welcome and important.
  • Assists patients with the sign-in process and responds promptly to their needs.
  • Supports financial responsibilities, including staying abreast of reimbursement and billing procedures, verifying information on the Audit Journal, preparing bank deposits, and signing and dating completed daily cash receipts.
  • Monitors general office supply inventory and equipment, notifying the Practice Manager when supplies are low and initiating orders for needed supplies and equipment.
  • Manages the patient check-in process, obtaining and verifying required demographic information, collecting copayments, and ensuring appropriate referrals are obtained.
  • Manages the patient check-out process, ensuring it is completed accurately and timely, reviewing charge slips, posting charges and payments, and scheduling future appointments.
  • Promotes patient satisfaction by providing excellent service and communicating potential patient satisfaction issues to the direct manager.
  • Maintains an efficient and accurate filing and record maintenance system, assembling new patient folders and retrieving records according to protocol.
  • Adapts work schedule to meet the needs of the practice, working additional hours as requested and managing time effectively to prevent unapproved overtime.
  • Serves as a pre-loader for the EMR system and performs other duties and/or projects as assigned.
