The Patient Service Representative/Scheduler plays a crucial role in the healthcare delivery system at NCH Healthcare System, serving as the first point of contact for patients in a primary care setting. The PSR/Scheduler is responsible for obtaining and verifying patient information, which is vital for the creation of medical records and the processing of authorizations and pre-certifications prior to patient visits. In this role, the PSR/Scheduler will fulfill various patient care responsibilities, including checking schedules, organizing patient flow, and recognizing any changes in a patient's condition upon their arrival at the office. They will collect patient history forms, which include critical information such as current medications, allergies, and symptoms. The PSR/Scheduler must prioritize insurance coverage accurately and ensure that all patient data is updated according to company standards. This includes verifying patient registration profiles and obtaining necessary consents for treatment. The position also involves processing physician referrals and orders, maintaining patient clinical forms, and scheduling medical and surgical appointments based on patient needs. The PSR/Scheduler will confirm and remind patients of their appointments, provide preliminary clinical instructions, and collect insurance co-payments and deductibles as per established protocols. Additionally, they will monitor patient waiting times and communicate any delays to patients and their families. The role requires effective communication with staff and patients, acting as a liaison between the physician's office, referral physicians, and ancillary services. Overall, the PSR/Scheduler is integral to the quality of care provided at NCH, ensuring that administrative processes run smoothly and that patients receive the attention and care they need during their visits.

Responsibilities

  • Serve as the first point of contact for patients and complete all administrative tasks associated with scheduling and patient interaction.
  • Collect patient history forms upon intake, including current medications, allergies, and symptoms.
  • Obtain required personal information to create new patient medical records and process authorizations/pre-certifications before visits.
  • Prioritize insurance coverage and accurately enter patient demographic information.
  • Verify and update patient information on file according to company standards.
  • Obtain consents for treatment and complete required Medicare questionnaires for appropriate patients.
  • Process physician referrals and orders, entering tests into the Electronic Medical Record (EMR).
  • Maintain patient clinical forms for pick-up and ensure proper documentation in the EMR.
  • Schedule new and follow-up medical/surgical appointments and radiological testing procedures based on patient needs.
  • Confirm and remind patients of scheduled appointments according to clinic procedures.
  • Collect and deposit required insurance co-payments and deductibles at the time of service.
  • Monitor patient waiting times and communicate any delays to patients and families.
  • Verify benefits and eligibility for all scheduled patients and accurately enter charges for services performed.
  • Produce reports to reconcile charges and payments with data entered into the EMR.
  • Prepare daily close reports and submit them to accounting for reconciliation.

Requirements

  • Minimum of High School diploma or GED required.
  • Intermediate computer knowledge, including proficiency in Microsoft Word, Excel, Outlook, and Windows.
