About the position

The Scheduler II is accountable for coordinating all scheduling, communications and paperwork associated with patients who require outside surgical/medical procedures. Processes and documents and prior authorization as required for surgeries and testing. The ideal candidate will display a drive to provide patient-centered experiences through scholarly scientific inquiry, compassion for the human spirit and mind, advocacy and education for the patient and families, and collaboration with all those who touch our patients.

Responsibilities

  • Accurately and quickly schedules appointments with the appropriate provider/care team.
  • Identifies and selects correct patient or creates new patient per protocol.
  • Communicates with appropriate staff regarding changes to schedule (late arrivals, cancellations, add-ons, etc.).
  • Notifies Template build team of any identified issues or concerns.
  • Informs and updates Manager/Supervisor on departmental issues or concerns and offers suggestions to improve workflows and efficiency.
  • Responsible for pre-registration process of scheduled patient by utilizing appropriate strategies, including phone call and online databases to ensure coverage of scheduled patients and obtaining benefit information.
  • Explains registration process to patient, assists patient with any insurance related questions.
  • Obtains key data elements ensuring that all fields are populated correctly and appropriately which are needed to ensure that services provided, and reimbursements are ultimately obtained.
  • Provides excellence in customer service by triaging and forwarding unrelated scheduling calls to appropriate office or pool in a timely manner.
  • Routes request for clinical and medication refills and authorizations to the centralized refill pool in EPIC.

Requirements

  • High school diploma or equivalent.
  • Proficiency in a Windows based computer environment and skill navigating through the Epic and Epic Care.
  • Surgical booking protocols, medical terminology and Epic experience desirable.
  • Possess excellent verbal, written and interpersonal skills.
  • Considerable tact required in most duties to achieve results.
  • Must have the ability to work well with others in a very busy, close environment as well as independently with minimal supervision.
  • Ability to pass drug screenings and background checks.
