About the position

The Medical Receptionist will serve as the first point of contact for patients, managing front desk operations and providing essential administrative support in a mental health setting. The role requires excellent communication skills, a friendly demeanor, and a passion for delivering excellent patient care.

Responsibilities

  • Greet and welcome patients and visitors in a warm and professional manner.
  • Answer and direct phone calls, taking messages and providing information as needed.
  • Schedule and confirm patient appointments using management software.
  • Maintain a clean and organized reception area to ensure a calm and welcoming environment.
  • Verify patient information and update medical records as necessary.
  • Assist in the completion of registration forms and other documentation.
  • Collect and process co-pays, fees, and insurance billing information.
  • Facilitate communication between patients and clinical staff.
  • Maintain confidentiality and security of patient information in accordance with HIPAA regulations.
  • Assist with filing, data entry, and other administrative tasks as assigned.
  • Coordinate with clinical staff to ensure smooth operation of the clinic.
  • Monitor and order office supplies, maintaining inventory as needed.
  • Verify insurance coverage and assist patients with insurance-related inquiries.
  • Enter and update patient billing information accurately.

Requirements

  • High school diploma or equivalent; additional certification in office administration or related field is a plus.
  • Previous experience as a medical receptionist or in a similar administrative role is preferred.
  • Proficiency with office management software, particularly patient scheduling and electronic medical records.
  • Basic understanding of medical terminology, insurance processes, and billing.
  • Exceptional interpersonal and communication skills, both verbal and written.
  • Strong organizational skills and attention to detail.
  • Ability to handle multi-line phone systems and manage multiple tasks efficiently.
  • Compassionate and patient-focused with a commitment to confidentiality and integrity.
