About the position

Clavenna Vision Institute is seeking a dedicated and professional Medical Receptionist for their Birmingham office. This full-time position operates Monday through Friday from approximately 8:00 AM to 5:00 PM, with no weekend or late evening shifts required. The Medical Receptionist plays a crucial role as the first and last point of contact for patients and visitors, ensuring a welcoming and efficient experience. This position is customer service-oriented and involves a variety of administrative tasks that support both the medical staff and the overall patient experience. In this role, the Medical Receptionist will be responsible for greeting patients and visitors in a courteous and professional manner, preparing patient charts, and managing the scheduling of appointments. The receptionist will also handle payment requests and answer telephone inquiries, all while maintaining strict patient confidentiality in accordance with HIPAA regulations. The ability to communicate effectively with patients, medical support staff, and physicians is essential for ensuring continuity of high-quality patient care. The Medical Receptionist will also be expected to demonstrate a strong commitment to the mission and values of Clavenna Vision Institute, adhere to organizational policies and procedures, and maintain a safe environment by conforming to OSHA regulations. This position may require travel between office locations as needed, and the receptionist will operate basic office equipment as part of their daily responsibilities.

Responsibilities

  • Greet patients and visitors promptly in a courteous, professional, and helpful manner.
  • Maintain excellent communication and effective working relationships with patients, providers, clinical and administrative team members for continuity of high-quality patient care.
  • Schedule patient appointments following clinic specifications and procedures.
  • Demonstrate a strong commitment to the mission and values of the organization.
  • Adhere to the policies and procedures of the organization.
  • Perform related duties as required and as needed.
  • Travel between office locations as needed.
  • Maintain strict confidentiality of patient, client, company and personnel information by conforming to all HIPAA regulations and following confidentiality policies and procedures.
  • Conform to all OSHA regulations to maintain a safe environment.
  • Operate basic office equipment.

Requirements

  • High School Diploma/GED required.
  • At least one year of experience in a customer service setting, ideally in a medical office, is preferred.
  • Knowledge of principles and processes for providing customer and personal services, including customer needs assessment and evaluation of customer satisfaction.
  • Knowledge of the structure and content of the English language, including the meaning and spelling of words, rules of composition, and grammar.
  • Demonstrate self-motivation, initiative, and time management skills.
  • Ability to effectively communicate information and ideas both verbally and in written format.
  • Ability to work independently and effectively with others as a team to accomplish objectives and goals.
  • Strong computer and keyboarding skills, with the ability to type a minimum of 30 words per minute (WPM).
